Department Summary

The Enterprise Protection Business Intelligence & Operations Department is part of the enterprise IT organization within PG&E. Our mission is to protect the people, assets and facilities of PG&E. The department includes financial planning and investment analysis, contract management and reporting that support IT’s Corporate Security, Cyber Security, Data Analytics & Insight and Enterprise Data Management. We work together internally and in concert with the functional areas and supporting partners to provide security and data driven analysis.

Position Summary

The position will be supporting Corporate Security’s Enterprise security guard program, which includes permanent and temporary locations including Wildfire and Storm remediation efforts. Oversees, an annual spend of greater than $50 million. This position will assist in bids, negotiations and prepares contract documents for the acquisition of goods and/or services in accordance with procurement policies and standard practices. In addition, managing these guard contracts, compliance and invoice management will be part of this position.

The role is hybrid working from your remote office and in-person at the Oakland General office based on business needs.

PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity. Although we estimate the successful candidate hired into this role will be placed between the entry point and the middle of the range, the decision will be made on a case-by-case basis related to these factors.​ This job is also eligible to participate in PG&E’s discretionary incentive compensation programs.
A reasonable salary range is:

Bay Area Minimum: $78,000
Bay Area Maximum: $116,000

Job Responsibilities

Contract Administration: Manages the contract management process for security services ensures compliance. Collaborates with SME on contract terms and conditions in accordance with corporate security’s standards, policies, and procedures. Ensure purchase requisitions includes appropriate supporting documentation in accordance with Supply Chain standards and procedures. Prepares, assists, and manages Ariba shopping carts, contract change orders, MSA, CWA and other SAP documents.
Prepare Contract Documents: Transmits and tracks contract documents to suppliers, and/or PG&E management to ensure timely processing of documents. Reviews vendor/contractor monthly schedule of activities and verify progress.
Invoice Management: Collaborate with Accrual Owners for accounting transactions to ensure cost for services are recorded in the period for which it was rendered in compliance with accounting standards. Perform Goods Receipts (in Ariba for Ariba POs, in SAP for SAP POs). Receives and reviews contract invoices and coordinates authorization to ensure payment are in accordance with Master Service Agreement payment terms and oversees the maintenance of vendor files. Audits vendor spending to ensure accuracy and timeliness of payments. Collaborate with accrual owners on quarterly purchase order certification.
Works independently, with limited supervision or guidance.
Participates on project teams, may lead smaller projects May initiate and lead basic process improvement efforts.
May initiate dispute with customer on contract interpretation with little or no guidance.
Takes ownership of customer relationship including disputes and proactively moves PG&E toward resolution.
Subject matter expert on their customer contracts.
Builds effective working relationships with stakeholders and customers.
Provides reports to management for Contract or issue management.
Educates customers about current policies and procedures.
Supports scheduling operations of contract customers.
Ensures costs and revenues are properly handled per contract terms.
Qualifications

Minimum:
Bachelor’s degree in business, marketing, engineering or related degree or equivalent work experience
2 years of related work experience

Desired:
Knowledge and experience in contract negotiations.
Understanding of regulatory processes.
Understanding of settlement and billing processes.
Proficient in computer software to complete calculations and presentations: Microsoft Excel, Access, Word, PowerPoint, etc.
Client-focused experience in a support function where client customer satisfaction was a priority.
Good written and verbal communication skills.
