Job Summary

A key member of the Gift Planning team for the Faculty of Arts and Sciences, the Development Assistant provides comprehensive support to two Gift Planning fundraisers

AA&D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP)

FAS Development is responsible for the fundraising efforts supporting the Faculty of Arts and Sciences, including Harvard College, the Harvard John A. Paulson School of Engineering and Applied Sciences, and the Graduate School of Arts and Sciences. FAS Development staff work with donors, alumni, parents, and friends who provide critical support for the FAS and often for other parts of the University

Position Description

The list below covers the most significant responsibilities of the position. However, it does not exclude other duties, the inclusion of which would be in conformity with the level of the position
  • Provides customer service to internal and external stakeholders such as colleagues, donors and/or alumni. Manages incoming inquiries for the Office of Gift Planning (OGP): monitors the OGP email inbox and answers phone calls to the OGP main line; responds to/forwards inquiries as appropriate. Similarly, manages inquiries from FAS colleagues and leads from University Planned Giving.
  • In collaboration with other members of the OGP team, supports OGP’s marketing efforts. Coordinates with partners within AD&D such as FAS Communications and AA&D Creative Services. Coordinates with external vendors.
  • Provides support to gift officers throughout the entire prospect management process including (but not limited to) prospect outreach, data gathering and maintenance, scheduling, meeting preparation and follow-up on action items.
  • Partners with gift officers to write high quality donor briefings for meetings with the President, Deans, Provost, Faculty, and other staff.
  • Maintains calendars for gift officers, organizes meetings, and takes/distributes notes.
  • Coordinates gift officers’ travel arrangements, reimbursements, and expenses in collaboration with the budget office.
  • Achieves proficiency in the alumni/donor database to research prospects, organize data and produce reports. Regularly updates the alumni/donor database to ensure all information is entered accurately and timely.
  • Develops and prepares necessary background and solicitation materials prior to prospect meetings and is responsible for follow-up, which may include provision of various materials, and entering contact/visit reports.
  • Serves as a resource for colleagues and external stakeholders for policies, protocols, and procedures. Disseminates OGP policies, etc., via appropriate channels (e.g., The Source).
  • Builds relationships and collaborates with other departmental teams including (but not limited to) the Harvard College Fund, FAS Principal Gifts, FAS Major Gifts, FAS Communications, FAS Events, University Development Office (University Planned Giving in particular), Alumni Development Services, Development Technology Services, and the Harvard Alumni Association.
  • Participates in various team and staff meetings throughout the year and is an engaged member of the team.
  • Executes other job-related duties as required.

Basic Qualifications

  • 1-2 years of related experience, education beyond high school may count toward
  • Strong knowledge of Microsoft Office software
  • Strong writing skills and attention to detail
  • Available to work additional evening/weekend hours if necessary

  • The successful candidate will be highly organized and able to work independently.
  • They will have strong project management skills (e.g., tracking deadlines, coordinating stakeholders).
  • They should be mission driven, have attention to detail, strong organizational ability, and robust communications skills

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment
