We are seeking an Event Planning Program Manager to oversee the planning, coordination, and execution of our annual conference and other key events.

We are seeking an Event Planning Program Manager to oversee the planning, coordination, and execution of our annual conference and other key events.
Key Responsibilities
Event Management & Logistics
- Lead the planning, coordination, and execution of the annual conference and other key events such as board meetings, executive events, and other organizational gatherings.
- Develop and maintain detailed event timelines, production schedules, and checklists.
- Coordinate with venues, vendors and speakers to ensure seamless event execution.
- Oversee onsite event operations, including setup, staffing, and troubleshooting.
- Budgeting & Vendor Management
- Develop and manage event budgets, ensuring cost-effectiveness while maintaining high-quality experiences.
- Negotiate contracts with venues, hotels, catering services, and other event service providers.
- Maintain detailed post-event reports and documentation for future reference.
- Identify areas for improvement and implement changes for future events.
- Bachelor’s degree in event planning, hospitality, or a related field.
- 5+ years of experience in event planning, preferably within a non-profit, association, or conference-focused setting.
- Proven ability to design and manage large-scale conferences.
- Strong project management and organizational skills, with attention to detail.
- Experience with event budgeting, contract negotiation, and vendor coordination.
- Excellent communication and relationship-building abilities.
- Proficiency in event management software and registration platforms.
- Ability to travel as needed for event execution.
- CMP (Certified Meeting Professional) or related certification.
