We’re seeking a self-driven, detail-oriented Onboarding Specialist to manage and support the online new hire onboarding process across the organization. In this unique and autonomous role, you’ll be the go-to expert for resolving onboarding issues, guiding candidates and hiring teams through technical challenges, and ensuring a seamless and compliant experience from offer acceptance to day one.
This is a solo position with backup support from the Talent Acquisition Operations team. The ideal candidate is highly organized, thrives in a high-volume environment, and enjoys troubleshooting with both people and systems.

About The Role

What You’ll Do
- Own and manage a centralized onboarding inbox (approx. 40 emails/day)
- Troubleshoot and resolve technical and process-related onboarding issues
- Collaborate with departments (HR, HRIS, TA Operations) to correct errors and maintain compliance
- Monitor and fix onboarding system error messages in the applicant tracking system
- Update candidate start dates in HRIS system as requested by branches
- Perform document audits and respond to audit requests from auditors and TA Operations
- Submit and track support tickets with applicant tracking system vendor; join weekly calls to resolve issues
- Host onboarding-related trainings and support sessions for branches and new users
- Maintain and update onboarding document libraries and Standard Operating Procedures
- Light travel nationally for events and occasional acquisition support
- Serve as the organization's applicant tracking system onboarding expert for all hires
- Customer-service mindset and comfort helping users with varying technical abilities
- The ability to communicate clearly when describing a process or when documenting best practices
- High attention to detail and a passion for clean, compliant processes
- An appetite for learning – asking about the vague, unknown and what could be
- Excellent time management and the ability to prioritize a high volume of requests
- Strong communication skills—both verbal and written
- Proven technical troubleshooting ability and a calm, patient demeanor
- High School Diploma or equivalent required; Bachelor’s degree preferred
- Previous experience troubleshooting processes or issues to find a root cause; prior solo-role experience is a plus
- Familiarity with processes using an online system is helpful
- Independent Worker (with Team Support): Comfortable owning your workflow while knowing help is available when needed
- Technical Patience: Able to calmly assist users with issues and other challenges
- Organized & Responsive: Manages processes with intention and accuracy
- Process-Driven: Maintains documentation and contributes to ongoing process improvement
- Customer-Focused: Ensures every candidate has a positive, supportive onboarding experience
- Following up on an error message from the applicant tracking system and submitting a ticket for resolution
- Updating an onboarding packet based on new state requirements
- Helping a candidate reset their onboarding password
- Fielding questions and requests from partner departments
- Attending a vendor ticketing call to escalate and resolve ongoing issues
- Drafting a new SOP for onboarding processes
- Responding to an audit request in a timely manner with complete documentation
- Presenting an onboarding update during a team meeting
