- Reports to: Vice President of HR
- Schedule: Full-time, Monday-Friday 8:30 am – 5pm
- Location: Pompano Beach, FL (On-site) with the flexibility to work from home one day per week after the onboarding period.
- Process bi-weekly, multi-state payroll in compliance with federal, state, and local tax laws.
- Perform daily payroll functions including tax calculations, payroll interfaces, payroll closing, and cost allocations.
- Ensure timely and accurate processing of payroll adjustments, deductions, and garnishments.
- Maintain compliance with all wage laws and FLSA updates.
- Lead data cleanup and system maintenance in UKG in preparation for transition to ADP.
- Collaborate with HR and IT to optimize payroll systems, including ADP Essential Timekeeping.
- Identify and implement process improvements to enhance payroll and benefits efficiency.
- Oversee payroll reconciliations, including insurance, 401(k), and general ledger accounts.
- Manage month-end and year-end payroll close processes, journal entries, and tax reporting.
- Prepare and submit quarterly and annual payroll filings, including W-2s, while ensuring SOX compliance.
- Generate payroll reports for leadership and assist with financial audits and reconciliations.
- Coordinate benefit deductions and reconcile payments for health insurance, retirement, and other plans.
- Manage employee time-off tracking, accruals, and retirement contribution variances.
- Serve as the primary point of contact for employee payroll inquiries, resolving issues with accuracy and professionalism.
- Support HR and Finance in maintaining accurate payroll records and resolving discrepancies.
- Train HR team members on payroll procedures, compliance, and system changes.
- Maintain payroll documentation and support internal and external payroll audits.
- Develop and update payroll Standard Operating Procedures (SOPs).
- Conduct regular audits to ensure data accuracy and resolve payroll variances.
- Minimum of 5-7 years in payroll management with demonstrated expertise in payroll administration, benefits integration, and regulatory compliance.
- Experience with UKG (Ultimate Kronos Group) and ADP systems, particularly in payroll system transitions.
- Strong knowledge of federal, state, and local payroll and tax laws, with a background in multi-state payroll processing.
- Analytical and detail-oriented with a track record of successfully troubleshooting payroll discrepancies and managing high-volume payroll.
- Excellent interpersonal and communication skills, able to explain technical payroll matters to non-experts and collaborate with diverse teams.
- Bachelor’s degree in Accounting, Finance, or a related field.
- Payroll & Compliance Expert: Experienced in managing multi-state payroll processes with a strong understanding of federal, state, and local tax regulations.
- Benefits Knowledgeable: Well-versed in administering employee benefits programs, including health insurance, retirement plans, and time-off policies.
- Detail-Oriented: Committed to accuracy in payroll processing, benefits reconciliation, and regulatory compliance.
- System-Savvy: Proficient in payroll and HRIS systems (e.g., UKG, ADP) with a focus on process improvement and data integrity.
- Effective Communicator: Confident in communicating complex payroll and benefits information clearly to employees, leadership, and cross-functional teams.
- Discreet & Ethical: Maintains strict confidentiality when handling sensitive payroll and benefits information.
- Organized & Deadline-Driven: Skilled at managing multiple priorities and meeting critical payroll and reporting deadlines.
