Position Summary:
Matchbook Learning K-8 is seeking a passionate, organized, and community-driven Community Engagement & Events Coordinator to serve as the bridge between our school, families, and the broader Indianapolis community. This individual will lead family engagement events, support before- and after-school programming, manage resource support for students, and ensure the school is well-represented both internally and externally.

Position Summary:
Matchbook Learning K-8 is seeking a passionate, organized, and community-driven Community Engagement & Events Coordinator to serve as the bridge between our school, families, and the broader Indianapolis community. This individual will lead family engagement events, support before- and after-school programming, manage resource support for students, and ensure the school is well-represented both internally and externally.
Key Responsibilities & Evaluative Metrics:
Parent & Community Engagement
- Plan, promote, and execute monthly family engagement events (during and after school hours)
- Metric: Minimum of 10–12 family engagement events executed per school year with at least 30% family attendance
- Cultivate strong relationships with families to foster consistent involvement and partnership
- Metric: At least 80% of families report feeling welcomed and informed via an annual or biannual family survey
- Capture photos at school events and activities to support internal communications and social media storytelling
- Metric: Photo documentation submitted for at least 90% of school events; minimum 2–3 high-quality photos per event
- Coordinate and support external partners, including school picture vendors, dental clinics, and other student-facing services
- Metric: 100% of external partner visits are confirmed, communicated, and executed with documentation on file
- Design flyers and communications for events using tools like Canva or Google Suite
- Metric: Flyers/communications are sent at least 7 days in advance for 95% of events
- Manage the logistics of school-wide events such as family nights, community fairs, and parent workshops
- Metric: Events receive a 90% satisfaction rating from attendees on post-event feedback surveys
- Coordinate with staff and volunteers to ensure events run smoothly and are inclusive of all families
- Metric: Volunteer sign-up and coordination documented for 100% of major events
- Track and report attendance for all before- and after-school programs
- Metric: Weekly attendance data submitted with 95% accuracy
- Partner with the Internal Compliance & Operations team to ensure that MOUs with external partners are current and collected
- Metric: 100% of MOUs are collected and updated by the start of programming
- Communicate regularly with families about programming and maintain records of student participation
- Metric: Communication logs show at least monthly updates to participating families
- Serve as a bridge between school staff and external providers to ensure seamless support
- Metric: Provider satisfaction surveys yield 85%+ positive feedback
- Maintain and organize the school’s donation-based inventory, including clothing, shoes, hygiene items, and other essential supplies
- Metric: Inventory updated at least monthly; response time to student needs within 24–48 hours
- Respond to student/family needs discreetly and efficiently
- Metric: 90% of resource requests fulfilled within 48 hours
- Coordinate with the front office for all school supply-related needs
- Metric: Supply replenishments fulfilled with no more than 1 week delay
- Represent Matchbook Learning at community events and neighborhood meetings to build visibility and identify opportunities for collaboration
- Metric: Minimum of 6 external community events attended annually
- Build partnerships with organizations that offer enrichment, wellness, or support services to students and families
- Metric: At least 3 new partnerships or programs launched per school year
- Experience in schools, nonprofits, or community engagement roles
- Strong organizational and communication skills
- Ability to take high-quality photos (amateur level is great!) and use them meaningfully in storytelling and outreach
- Bilingual (Spanish/English) preferred but not required
- Familiarity with Canva, Google Workspace, and basic digital tools
