Are you ready to be the heartbeat of fun at Generations AdventurePlex? As our Administrative Assistant, you’ll be the go-to person for keeping everything running smoothly behind the scenes at our family entertainment center! This isn't your typical desk job—expect a mix of office tasks, event planning, and guest interactions, all while making sure every visitor has an amazing experience. Key Responsibilities

Customer Service & Communication

  • Handle incoming calls, emails, and inquiries, providing accurate information regarding services, events, and bookings.
  • Greet guests and manage front-desk activities, ensuring a welcoming and professional atmosphere.

Office Management

  • Maintain an organized filing system for important documents, such as contracts, schedules, and employee records.
  • Manage office supplies inventory, placing orders when necessary, and ensuring a well-stocked work environment.
  • Assist in tracking and organizing internal reports, scheduling staff meetings, and preparing meeting agendas.

Event Coordination

  • Support the planning and coordination of events, birthday parties, corporate bookings, and special activities.
  • Process booking requests, create invoices, and ensure proper communication with clients regarding event details.
  • Prepare event-related materials and manage event schedules to avoid conflicts.

Data Entry & Record Keeping

  • Input and update customer and vendor information into the system.
  • Handle financial transactions, process payments, and prepare daily reports for management.
  • Track and report attendance, sales, and other metrics to assist with operational improvements.
  • Assist with obtaining weekly financial reports and reconciling accounts.

Inventory Management

  • Conduct regular inventory counts of office supplies, event materials, and other essential items.
  • Assist in maintaining accurate inventory records for food, beverages, and equipment.
  • Monitor stock levels and collaborate with relevant teams to ensure timely restocking.

General Administrative Support

  • Assist in creating staff schedules and handling shift changes when needed.
  • Coordinate training sessions, employee onboarding, and maintain employee training records.
  • Provide general administrative support to various departments as needed.

Schedule And Compensation

  • Schedule: Monday to Friday, 10:00 AM - 6:00 PM.
  • Compensation Rate: $17 per hour.

Requirements

A college degree or technical certification in any field is preferred.

Previous Experience In HR Or Administrative Roles Is Required.

Strong organizational and multitasking skills to handle a variety of responsibilities effectively.

Excellent communication and interpersonal skills that foster collaboration and positivity.

Proficiency in Microsoft Office Suite and the ability to learn new systems quickly.

A high level of integrity and professionalism when handling confidential information.
