Position Summary:

As the Executive Assistant you will serve as the primary point of contact between the President/CEO of the company external constituents on all matters, including managing information flow, organizing and coordinating schedules, and coordinating trade shows and other company events. Will also assist with internal coordination of schedules as needed.

Position Responsibilities:

  • Provide “gatekeeper” and “gateway” role in a judicious manner between the President and all constituents acting as the point of contact.
  • Prioritize conflicting needs; handles matter expeditiously and proactively and follows through on projects to successful completion, often with deadline pressures.
  • Work closely with the President to keep him informed of upcoming commitments and responsibilities, including the nature or content of upcoming meetings but before the meeting, and following up appropriately.
  • Acts as a “barometer”, having a sense for the issues taking place in the environment and keeping the President updated.
  • Assist with the preparation of various company reports.
  • May assist in maintaining company website.
  • Maintain executives’ schedules, arrange meetings, and appointments and provide reminders.
  • Coordinate catering activities for meetings and special events, make travel arrangements for executives.
  • Coordinate and assist in administrative activities and reporting across multiple departments.
  • Manage company events including trade shows and trainings.
  • Work with leaders, managing internal and external company communications.
  • May assist with other related administrative duties including legal-matter related.
  • Attend meetings to assist and take notes.
  • Run errands as needed.
  • Must maintain discretion and confidentiality at all times.
  • Other tasks and administrative needs as they arise.

Skills & Requirements:

  • Extensive knowledge of Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
  • Must possess at least 3 years of experience in executive level administrative support preferably supporting a C-Level Executive.
  • Associates degree preferred.
  • Excellent organization and time management skills.
  • Team oriented and dependable.
  • Ability to use independent judgment in solving complex issues.
  • Problem solving and analytical skills.
  • Strong attention to detail.
  • A positive attitude and strong work ethic.
  • Excellent verbal and written communication skills in a manner appropriate for a wide variety of audience.
  • Must be versatile, flexible and agile to shift from projects and activities as priorities change.
  • Ability to work well in a fast-paced, dynamic environment.
  • High tolerance to stress.
  • Ability to interact on an executive caliber.

Physical Demands & Working Conditions:

  • Ability to work under pressure.
  • Ability to sit for long periods of time.
  • Ability to operate a computer keyboard, mouse and other computer components.
  • Ability to lift up to 10 lbs.
