Legal Assistant – White Plains Office

We are a vibrant, growing, and fast-paced full-service law firm, and we’re looking to expand our talented team by adding a Legal Assistant with 3+ years of experience in an administrative role, preferably in a legal setting.

Position Summary
The Legal Assistant will provide comprehensive administrative support to partners, associates, and department staff.
Key Responsibilities
- Answer phones, take accurate messages, and ensure timely routing and follow-up with appropriate urgency.
- Maintain and manage detailed calendars in Outlook, including scheduling and coordinating internal and external meetings.
- Prepare and type letters, retainer agreements, and legal documents as needed.
- Handle a variety of administrative tasks, including organizing conference calls and meetings, managing paper and electronic files, and assisting with photocopying, scanning, and printing.
- Draft, edit, format, and proofread letters, memos, and presentations using Microsoft Word, Excel, and PowerPoint.
- Compose routine correspondence and emails.
- Request conflict checks, open new client matters, and manage electronic approval submissions.
- Enter attorney time into the billing system accurately and timely.
- Support the team with other projects and responsibilities as needed.
- Minimum of 3+ years of administrative experience in a law firm is required.
- Litigation experience is a plus.
- Bachelor's degree or equivalent experience preferred.
- Excellent client service and communication skills.
- Strong organizational and problem-solving abilities.
- Proactive, dependable, and detail-oriented.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Able to thrive under pressure in a fast-paced environment.
- Professional demeanor and strong interpersonal skills; able to work collaboratively across all levels of staff.
