Key Responsibilities
Office Operations:
- Oversee the day-to-day operations of all departments in the office, ensuring that all tasks are completed efficiently, effectively, and with an emphasis on customer service.
- Coordinate with healthcare providers to ensure that patient care is seamless and timely.
- Maintain a clean, organized, and welcoming office environment.
- Lead and motivate all office staff, fostering a collaborative and positive team culture.
- Conduct regular staff meetings to communicate updates, address concerns, and provide feedback.
- Assist in training and mentoring new staff members, ensuring they are well-equipped to perform their duties.
- Address and resolve any staff conflicts or issues in a timely and professional manner.
- Ensure that all patients and their families receive exceptional customer service.
- Handle patient inquiries and concerns with empathy and professionalism.
- Collect and respond to patient feedback, making necessary improvements to enhance the patient experience.
- Ensure that the office complies with all relevant healthcare regulations and standards, including HIPAA and OSHA.
- Implement and maintain safety protocols to protect patients and staff.
- Stay informed about industry trends and best practices and implement them as appropriate.
- Manage payroll, ensuring timely and accurate processing.
- Oversee the onboarding process for new staff, including orientation, training, and documentation.
- Administer and manage employee benefits, including health insurance and retirement plans.
- Handle employee relations, including performance evaluations, disciplinary actions, and conflict resolution.
- Education: Minimum bachelor’s degree.
- Experience: At least 3-5 years of experience in office management, preferably in a private medical practice setting.
- Strong leadership and interpersonal skills with a high level of professionalism.
- Excellent communication and customer service skills.
- Ability to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office, including Word and Excel.
- Experience with electronic medical records (EMR) systems.
- Knowledge of basic accounting principles to help plan, prepare, analyze, and monitor revenue and expense budgets and reports.
- Administrative knowledge to support human resources and office workflow.
- Collaborative and team-oriented, with a focus on building strong relationships.
- Thoughtful and detail-oriented, with a commitment to excellence.
