Job Description

The Program Manager plans, organizes, directs, and manages all aspects of a recognized organizational program/center. Provides leadership, guidance, and direction for day-to-day program operations and administrative activities, including the authority to make independent decisions regarding program operations, administration, and governance. Leads and/or contributes to the short-term and long-term strategic planning, design, development and implementation of program objectives, processes and standards. May supervise staff as it relates to the overall management of the program.

Primary Duties and Responsibilities

  • Oversees and/or manages the assigned recognized organizational program and has authority for day-to-day program operations and administration. May be responsible for program development or expansion. Plans and implements program operations, determines and develops governance, processes and/or guidelines, coordinates program activities and timelines, and determines and organizes resources to meet program goals and objectives.
  • May identify program or center collaboration opportunities to promote research and knowledge across disciplines.
  • Lead cross-functional teams in the administration, maintenance or expansion of the program.
  • Interfaces with internal and external key stakeholders including other departments, leaders across the organization, representatives from external agencies/organizations in the management of the program to provide guidance, resolve issues, grow the program, and/or implement processes and/or solutions.
  • Identifies growth opportunities and further efficiencies that impact the program and/or departments success and aids in development of strategic plans to achieve objectives.
  • Researches and analyzes data for evaluating performance of program or program operations, including quality assurance and trends. Makes recommendations to leadership and/or implements program changes based on findings.
  • Evaluates requests for program exceptions or changes, and determines response, escalating as necessary.
  • Assesses communication and training needs, develops and implements any applicable communication, education, training, onboarding and/or mentorship pertaining to the program.
  • In conjunction with leadership, responsible for planning, monitoring, and managing program fiscal budgets and financials.
  • Maintains data system integrity and ensures quality assurance measures are followed based on departmental standard operating procedures.
  • Monitors program to ensure appropriate governance and program compliance with local, state and federal laws; accreditation, professional and regulatory agency standards and licensure requirements.
  • May manage staff and/or lead the work of others.

Department-Specific Responsibilities

  • Works independently and in coordination with CBSC leadership, researchers, and administrators on supporting complex initiatives and activities to advance the goals of CBSC, including but not limited to planning and evaluation, metrics and data visualization, marketing and communications, and scientific writing support.
  • Oversees the development, refinement, and maintaining of databases, analytics, dashboards, and reports using available reporting tools.
  • Guides CBSC Administration and Leadership in identifying, developing and maintaining tracking and reporting mechanisms.
  • Lead, manage, and coordinate philanthropic development.
  • Provides oversight of administrative and project management support for implementation of software related to CBSC metrics and other reporting activities.
  • Monitors and optimizes performance of the databases; plans for backup and recovery of database information.
  • Monitors progress toward completion of assigned tasks. Ensures that reports and recommendations are submitted in a timely manner.
  • Manages human resource administrative activities.
  • Develops and maintains user manuals and standard operating procedures for any information systems used and all metrics reporting.
  • Manages and triages service requests, invoicing, and reporting.
  • Oversees the execution of events including seminars, educational programs, program meetings, Advisory Group meetings.
  • Works closely with RGS to ensure proper monitoring, budgeting, compliance, and reporting associated with grants/projects.

Qualifications

Required:

  • High School Diploma or GED.
  • Minimum of five (5) years of experience in Management, Program Management, Project Management, or a closely related field.
  • Minimum of three (3) years working directly with professors, doctors, or other academic/clinical professionals.

Preferred:

  • Bachelors or Post-graduate degree in Management and/or Communications.

Project and Research Focus:

  • Experience supporting fundraising initiatives and management-related projects.
  • Strong background in organizational leadership and resource development.

Soft Skills and Team Dynamics:

  • Proven ability to collaborate effectively with highly trained professionals as well as members of the general community.
  • Strong interpersonal, communication, and relationship-building skills.
  • Flexibility, professionalism, and the ability to navigate complex, multidisciplinary environments.
