
POSITION SUMMARY
The Receptionist is a full-time, non-exempt position based in our San Jose, California office. This role is responsible for handling incoming telephone calls, welcoming visitors, and coordinating conference room reservations. Superb organizational skills, the ability to handle a multitude of tasks simultaneously, meeting deadlines, and exercising independent judgment on a daily basis is key.
Starting Compensation: At Spencer Fane, we carefully consider a wide range of factors when determining compensation, including your background and experience. These considerations can cause your compensation to vary. We expect the hourly rate for this position to start between $33.27 and $41.59, and will depend on your skills, qualifications, and experience. We encourage all interested candidates to apply.

POSITION RESPONSIBILITIES
- Welcome and attend to clients/guests promptly and courteously, always maintaining an upbeat and pleasant attitude.
- Perform administrative duties such as mailings, managing office paperwork, organizing files, reviewing and documenting information for new hires, reviewing and revising firm receptionist manual, etc.
- Answer and direct incoming and internal telephone calls in a timely manner; communicate with attorneys and clients in a professional manner with discretion and confidentiality.
- Maintain conference room calendars and communicate with Office Services/Hospitality to ensure proper arrangements are made for meal ordering.
- Responsible for credit card reconciliation as needed.
- Accept and log in all FedEx, UPS and courier deliveries; retrieves U.S. mail.
- Issue work orders for repairs as needed.
- Assist LAAs and other staff with projects as assigned.
- Interact positively with attorneys and staff in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient.
QUALIFICATIONS / SKILLS
- High School Diploma or equivalent preferred; some college a plus
- 1-3 years prior experience in customer service or receptionist role required
- Notary certification preferred
- Experience in professional business environment preferred; experience in the legal sector is a plus
- Excellent oral communication skills, excellent organizational abilities, and strong problem-solving skills required
- Must possess a friendly, professional demeanor
- Experience with Microsoft Office required, including Word, Outlook, and Excel
- Knowledge of phone systems required
PHYSICAL REQUIREMENTS
- Position is generally sedentary in nature; involves sitting most of the time but may involve walking or standing for brief periods of time
- Ability to occasionally or routinely lift up 10 - 20 lbs. required
- Ability to effectively communicate
- Ability to perform repetitive motions required
- Ability to see and read PC screens, detect color coding, read fine print, and/or normal type size print
