Position Summary

The Tumor Registry Abstractor is responsible for assessing, extracting, and reviewing data from the electronic medical record and inputting required information into state registry databases. This role is well-suited for individuals with experience working within an electronic medical record or clinical setting. These positions could be clinical coding, scheduling, or technologist in nature. The ideal candidate will have strong attention to detail and a results-driven mindset. This position does not require a specific license or certification; however, prior experience in tumor abstraction, chart review, or registry data collection is highly preferred. Candidates must be analytical, self-sufficient, and capable of maintaining accuracy while managing large volumes of clinical data.

Primary Duties & Responsibilities

  • Review and abstract patient data from electronic health records (EHR) and medical charts into state registries accurately and efficiently.
  • Ensure compliance with registry guidelines, regulatory requirements (specifically NAACR standards), and data integrity standards.
  • Review identified cases for reporting applicability. Maintain detailed and accurate notes of this determination in a spreadsheet. Maintain confidentiality and security of patient information in accordance with HIPAA and organizational policies.
  • Participate in quality assurance processes, ensuring all data meets accuracy and reporting requirements.
  • Stay up to date on registry guidelines, abstraction methodologies, and best practices.
  • Assist in training and process improvement initiatives to enhance abstraction accuracy and efficiency.
  • Become a subject matter expert in abstracting all tumor types (prostate, bladder, urinary, kidney, etc) and treatment types (radiation, surgical, active surveillance, therapeutic).

Qualifications

Qualifications:

Required

  • Experience working with Electronic Health Records, Veradigm (AllScripts) preferred.
  • Strong attention to detail with the ability to accurately extract and enter data.
  • Proficiency in analyzing and reviewing electronic health records (EHR) and medical documentation.
  • Ability to work independently, meet deadlines, and maintain a high level of accuracy.
  • Strong problem-solving skills and critical thinking abilities.

Preferred

  • Prior experience in chart review, data abstraction, or clinical registries.
  • Clinical Tumor Registrar (CTR) or Oncology Data Specialist (ODS) certification
  • Familiarity with oncology, urology, or specialty registries is a plus.
  • Understanding of medical terminology, ICD-10, CPT coding, and clinical documentation.

  • Ability to thoroughly review medical records and extract accurate data.
  • Ability to execute tasks with minimal oversight and supervision
  • Ability to interpret clinical documentation and apply abstraction principles effectively.
  • Commitment to maintaining high standards of data quality and regulatory compliance.
  • Experience with EHR systems and medical database management.
  • Understanding of HIPAA regulations and patient data privacy requirements.
  • Strong ability to interact with clinical staff and other stakeholders professionally.
  • Ability to prioritize tasks and manage multiple assignments efficiently.
  • Ability to move between tumor types quickly and with minimal notice

  • Must have the ability & willingness to travel to other sites as necessary within a geographic region.

Physical Requirements For The Job

  • Regularly required to sit and stand for extended periods.
  • Involves standing, sitting, walking, bending, stooping, and twisting.
  • Requires full range of body motion, including manual and finger dexterity and eye-hand coordination.
  • Occasionally lifts and carries items weighing up to 20 lbs.
