Summary

The Albuquerque Academy Admission Office is seeking a highly organized and customer service-oriented individual for the position of Enrollment Management Assistant. The Enrollment Management Assistant plays a vital role by performing administrative tasks essential to attracting, recruiting, enrolling, and retaining mission-appropriate, academically capable students in grades six through twelve. This is a seasonal 8-month part-time position that is not benefits eligible.

Reporting to both the Associate Director of Admission and the Director of Tuition Assistance, the Enrollment Management Assistant will also provide support for family engagement initiatives, database management, and event coordination. The person in this role must possess excellent communication and interpersonal skills, a strong attention to detail, and the ability to maintain strict confidentiality. The Enrollment Management Assistant also must demonstrate a passion for helping under-served students gain access to educational opportunities.

This is an 8-month, non-exempt position that follows a schedule aligned with the Admission and Tuition Assistance Office cycle. This role is in-person and requires daily attendance at our on-campus office. Essential Functions

  • Offer administrative support to all members of the Admission and Tuition Assistance teams and oversee the departmental calendar.
  • Serve as the first-level customer service representative, responding to emails, phone calls, and in-person inquiries and welcoming guests and visitors.
  • Provide detailed and accurate information about the admission process, tuition assistance, and school policies to external and internal constituents.
  • Maintain organized electronic and physical records for both admission and tuition assistance functions.
  • Manage office supplies, storage areas, and guest waiting areas, ensuring there is a clean, comfortable, and welcoming seating area.
  • Support departmental projects as assigned.
  • Foster a culture of mutual respect, equitable practice, and professionalism.
  • Process admission inquiries and applications, ensuring applicant checklists are complete.
  • Support the Admission Office team with scheduling admission interviews, buddy visits, applicant workshops, and other programs.
  • Print and distribute admission-related communications, including mass mailings.
  • Attend and support admission events, including occasional evening and weekend shifts as assigned by the supervisor.
  • Communicate with enrolling families about deadlines, policies and procedures.
  • Assist parents/guardians in completing their tuition-assistance applications.
  • Conduct initial review of application files and identify those needing follow-up.
  • Prepare worksheets used in financial analyses to determine families’ financial needs.
  • Assist with grant proposals and allocations.
  • Co-host informational webinars and presentations on tuition assistance.
  • Provide timely communication to families about deadlines, application steps, file completion, and financial awards.
  • Support the School and its mission, always maintaining a high degree of professionalism.
  • Foster and maintain a culture of mutual respect, equitable practice, and joy.
  • Demonstrate cultural competence and communicate and collaborate effectively across differences.

Other Responsibilities

  • Attend employee meetings as needed.
  • Perform other duties as assigned.


Job Qualifications

Education

  • A high school diploma or equivalent is required.
  • A Bachelor’s degree is preferred.

Experience

  • At minimum 3 years of experience in administrative support, customer service, or a related field is required.
  • Previous experience in an educational or non-profit setting is preferred.

Knowledge/Skills/Abilities

  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication abilities.
  • Interest in finance and ability to analyze numerical data.
  • Proficiency in business applications, spreadsheets, databases, Google Workspace, and Microsoft Office.
  • Strong organizational and time-management skills with attention to detail.
  • Work independently in a fast-paced environment with minimal supervision.
  • Maintain strict confidentiality of sensitive information.
  • Fluency in Spanish or Vietnamese is preferred.

Special Requirements

  • Must be legally authorized to work in the United States.

Working Environment

  • Majority of work is performed in an indoor office setting on campus.
  • This is a seasonal 8-month part-time position.
  • Work hours are generally from 8:00 a.m. to 5:00 p.m. Monday through Friday.
  • Occasional evening and weekend work is required during peak admission and tuition-assistance periods, compensated with overtime accordingly.

Physical Demands

  • Prolonged sitting and computer use.
  • Ability to lift and carry up to 25 pounds with or without assistance.
