Provides direct support to company management in the area of accounting. May work with one or more Accounts Payable Clerk or Specialists.

RESPONSIBILITIES – Satisfactorily performing and/or achieving the following Responsibilities are essential duties of the job.
- Knows and follows the Accounting Department policies and procedures and Thorne Research policies and procedures as outlined in the Employee Handbook.
- Arrives at work as scheduled, starts work at the beginning of a shift, is on time to meetings, completes assigned tasks in a timely manner, and works overtime as required.
- Pays attention to detail. Employee completes paperwork accurately, neatly and fully.
- Becomes cross-trained in all areas of the Department and willingly works in different areas as assigned.
- Gets along with co-workers and supervisors. Employee responds appropriately to criticism and instructions from supervisors. Employee follows the Standards of Conduct as outlined in the latest version of the Thorne Research Employee Handbook.
- Responsible for all accounting work that is needed to ensure accounts payable are processed in an efficient and timely manner.
- Codes invoices, expense reports, purchase orders, and other similar items with correct codes, conforming to standard procedures in entering data into the financial system.
- Oversees, tracks, and follows-up on all credits owed from vendors and shipping companies. Files freight claims with third party logistics companies.
- Administrate expense reporting software, credit card portal, and shipping websites. Manage follow-ups on approvals, escalating as necessary.
- Takes care of all vendor correspondence via email or phone, evaluating and reconciling all vendor statements.
- Monitors all calls by vendors and address all issues in scheduling and disbursing accounts payable.
- Resolves invoice discrepancies and discrepancies in receipts, following up on approvals and escalating as needed.
- Prepares and processes weekly payments, which include wires, checks, credit cards and Automated Clearing House (ACH).
- Manages and verifies all expense reports, ensuring their compliance with company policies.
- Maintains and updates all accounts payable data, as well as ensures accuracy in general ledgers.
- Evaluates all accounts payable balances and resolves all issues regarding unpaid invoices.
- Audits and reviews electronic expense reports.
- Attaches corresponding purchase orders to invoices that are incoming, along with all supporting documents.
- Investigates and resolves issues that are associated with the processing of purchase orders and invoices
- Takes responsibility for identifying invoices where use tax is required.
- Follows up on outstanding issues in an organized manner in order to meet deadlines.
- Inspects paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to company standards.
- Helps with monthly closings and status reports.
- Reconciles various accounts by identifying omissions or errors in posting by applying the right accounting standards.
- Processes remittance information from wire transfers, drafts, and checks for invoices given by vendors, reviewing instructions that accompany the items to identify proper disposition and crediting accounts according to standards.
- Receives, researches, and resolves routine internal and external inquiries concerning account status.
- Files, maintains and distributes accounting reports, records and documents.
- Maintains vendor records.
- Helps various departments with processing purchase orders and contracts.
- Experience and/or Education: By training, education and experience, employee must be able to perform the essential duties of the job. High School Diploma or GED is required. Associate’s degree (A.A.) or equivalent from two-year College or technical school required in related field, and 3-5 years of experience working with accounts payable is preferred.
- Computer and Technical Skills: Possesses knowledge of the computers and software required to accomplish the Responsibilities of the job. Employee has a strong working knowledge of software such as Microsoft Word and Excel, as well as the ability to learn in-house computer programs.
