Description

Purpose:

The Front Desk Receptionist is the first point of contact for people entering the clinic. This

role is essential to ensure a welcoming and professional environment, managing all incoming

calls and emails, and coordinating appointment scheduling. The Receptionist will be

organized, have excellent communication skills, and deliver outstanding customer service

while maintaining participant confidentiality.

Accountabilities: (Responsibilities of the job)

Administrative Management

  • Respond to general inquiries received through the clinic’s email account. Forward

emails to appropriate staff or departments and maintain a clear, organized email and

fax systems.

  • Manage all incoming calls promptly and professionally. Answer inquiries, direct calls to

appropriate staff, and take detailed messages when necessary.

  • Coordinate and manage participant appointments, using scheduling software to

efficiently book, reschedule, or cancel appointments. Ensure the schedule is up to date

and accurate.

  • Welcome participants, visitors, and vendors as they enter the clinic with a positive and

friendly attitude. Provide any necessary assistance and direct them to the appropriate

department or personnel. Provide necessary forms for patients, and notify relevant

staff when patients arrive.

  • Perform other clerical duties as needed, including filing, faxing, copying, and assisting

with data entry.

  • Ensure all patient information is handled in compliance with HIPAA regulations and

clinic policies.

  • Provide clinic coverage for Office Administrator, including completing Urine Drug

Screens and medication delivery management.

  • May attend weekly clinical meeting and interfaces with clinical team to ensure

coordinated service delivery; attends clinical trainings as needed

  • Accepts other duties as assigned

Experience/Qualifications:

  • Previous experience as a receptionist or in a a customer service role preferred
  • Previous experience with mental health agencies preferred
  • Excellent verbal and written communication
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite
  • Experience with scheduling software or electronic health records (EHR) is a plus
  • Ability to remain calm under pressure
  • Friendly, welcoming demeanor with a focus on participant care
  • Strong attention to detail and accuracy
