About Us: Bounce ABA Therapy is dedicated to delivering high-quality, compassionate Applied Behavior Analysis (ABA) services to children with autism across Vermont and New Jersey. As we continue to expand, we are looking for a detail-oriented, knowledgeable intake specialist who can take our company to the next level.

Job Summary:Were seeking an Intake Specialist who is responsible for reviewing all incoming client leads, verifying insurance eligibility, coordinating necessary intake/onboarding paperwork, and managing both initial and ongoing insurance authorizations to ensure smooth, efficient service starts.The Intake Specialist will be the first point of contact for families and work closely with our administrative and clinical teams to maintain a high standard of service readiness and compliance.

Key Responsibilities

  • Review and process all new client leads submitted to the office.
  • Conduct insurance eligibility verifications for ABA therapy services.
  • Communicate with families to gather necessary intake paperwork and documentation.
  • Submit complete intake packets to insurance companies to obtain initial authorization for services.
  • Manage subsequent re-authorization processes, ensuring no lapse in services.
  • Track all leads and intake statuses accurately in Salesforce.
  • Serve as the main liaison between families, the billing department, and clinical staff during the intake process.
  • Ensure timely, professional, and compassionate communication with families at every step.
  • Collaborate with the clinical team to ensure timely assignment of assessment and treatment teams.
  • Maintain compliance with all insurance, HIPAA, and company documentation requirements.

Qualifications

  • 2+ years of experience in healthcare intake and insurance verification in a medical/therapy office (required).
  • Knowledge of insurance authorization processes for ABA services.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple intakes and deadlines simultaneously.
  • Excellent communication skills – professional, empathetic, and responsive.
  • Proficient with Microsoft Office (Word, Excel, Outlook) and general office technology.
