We are looking for a part-time Admissions Analyst to support our home and community programs. T his position is responsible for completing the admissions process and converting client referrals to admissions under the direction of the Admissions Manager for Home and Community.

We are looking for a part-time Admissions Analyst to support our home and community programs. T his position is responsible for completing the admissions process and converting client referrals to admissions under the direction of the Admissions Manager for Home and Community.
Essential Duties & Functions
- Responsible for answering inquiries regarding programs and gathering preliminary client/funder information.
- Receives and answers phone calls and emails regarding admissions inquiries
- Ensures that appropriate information is sent to individuals making requests.
- Gathers additional data and information to determine availability of funding and the possibility of funding approval.
- Communicates with Business Development Liaisons and Clinical Directors benefits verifications information so that timely follow up can be made and pre admissions screens can be scheduled.
- Coordinates with Clinical Director to obtain all pertinent treatment records, making all efforts to provide records to evaluation team prior to the preadmission screening
- Provides critical funding information prior to admission.
- Immediately following the preadmission screening, reviews evaluator’s overall impressions and recommendations including program, estimated LOS and therapy disciplines. Communicates the proposed treatment plan and projected costs directly to funder/referrer.
- Participates in the follow up process, including frequent contact with anyone that can assist in securing final admission commitment. Identifies and coordinates the activities of Collage staff that can assist with the admission.
- Coordinates preadmission discussion to disseminate information to prospective program and billing department, as needed. Completes patient workbook and IVF and provides any special instructions to Clinical Directors and Case Managers.
- Ensures that a full written evaluation report is forwarded to the funder/referrer within designated time frame.
- Secures commitment from funder/referrer via phone and in writing when possible. Negotiates discounts and prompt pay arrangements, under the direction of the Admissions Manager.
- Sets up patient in electronic medical record prior to admission
- Maintains regular contact with marketing staff regarding intakes, admissions and referral sources.
- Serves as a resource to program staff for funding and approval issues that may arise while a client is part of the Collage system.
- Keeps programs up to date on potential clients and internal discharge and admission status.
- A bachelor’s degree or equivalent related experience and a minimum of three years of experience working in a marketing/health care environment are preferred
- Knowledge of maintaining databases is essential.
- Knowledge of Microsoft Word, Excel, and Outlook are necessary. Competence in planning, organization, time management, communication skills are also required.
- Regularly required to communicate, both orally and in writing; occasionally required to speak on the telephone for extended periods of time.
- Frequently required to sit; occasionally required to bend, stoop, kneel, stand and walk.
- Regularly required to demonstrate a high degree of attention to detail, quality standards, and accuracy.
- Must have the ability to handle and organize multiple priorities and deadlines.
- Must have the ability to travel up to 10% of the time spent working in this position.
- Must have the ability to occasionally lift and or move 10 lbs. or more.
