East Carolina Anesthesia Associates (ECAA) is the most stable private anesthesia practice in North Carolina. Our Gastonia division has a rare opening for an office manager to work collaboratively with the partners and leadership teams in the practice in an administrative capacity. This individual will be the point person for various inquiries including payroll auditing, expense reporting, billing inquiries, quarterly tax payments, and office management. This individual will partner with various internal and external departments to ensure all processes are being followed. This position is mainly remote, but the incumbent must reside within reasonable commuting distance to our Gaston administrative office located at 2525 Court Drive, Gastonia, NC 28054.

Job Summary

The Office Manager is responsible for the overall administrative operations in support of the physician partners and CRNAs at our Gastonia anesthesia locations. The incumbent will be a point-of-contact for financial reports, billing questions/concerns, and support the practice leadership in administrative tasks. The Office Manager will have frequent contact with various individuals from across the healthcare industry, so they must be adaptable, outgoing, and professional with patients, physicians, support staff, and third-party affiliates. Effective communication skills are essential. The Office Manager will have to not only understand the various clinical and insurance processes, but must communicate and assist patients, staff, and partners with concerns. The Office Manager also partners with HR and Recruitment and must have a passion for training and development as ECAA continues to grow.

Duties/Responsibilities

  • Provide administrative support to physicians
  • Submit payroll twice a month for CRNA
  • Process partner payroll each month
  • Pay partners estimated taxes quarterly online
  • Work with Corporate HR regarding new hires on boarding process
  • Handle issues with the billing company by contacting physicians or Practice Manager for clarification/solution
  • Take billing calls from patients and Caromont when needed
  • Handle patient complaints regarding dental, malpractice, etc. with Chief Administrator
  • Update weekly financial report with receipts and charges
  • Collaborate with Practice Manager to manage renewals for DEA, NC Licenses, and Malpractice
  • Submit Gaston weekly HR report each Monday
  • Handle issues with Spectrum Wi-Fi
  • Order, pickup and deliver candy to office monthly
  • Review monthly financials and month end reports
  • Handle expense requests from CRNAs, process, and enter for reimbursement
  • Update payroll hours spreadsheet and share with Managing Partners and Chief
  • Work closely with Chief Anesthetist as needed (payroll mainly)
  • Involvement as needed with new Pain practices
  • Retrieval of Gastonia PO Box mail twice a month
  • Carry-out special projects as requested by Managing Partners
  • Other duties as assigned

Education And Experience

  • Minimum of an Associates’ Degree or Bachelor Degree in Medical Office Administration, but will consider experience in lieu of education.
  • Three years’ experience in medical office management working with payroll, billing and insurance required.
  • Two years’ experience working with electronic medical/billing records systems.
  • Working knowledge of Microsoft Office Suite applications, such as Word and Excel.
  • Intermediate bookkeeping and computer skills.

  • Work performed in an office environment.
  • Involves frequent contact with physicians, leadership, medical office staff and third party affiliates.
  • Work may be stressful at times.
  • Interaction with others is frequent and often disruptive.
  • Requires long periods of standing, walking, and/or sitting down.
  • Physical activity can be spontaneous and fast-paced regularly.
  • Must possess sufficient eye-hand coordination/manual dexterity to operate medical and office equipment.
  • Required normal range of hearing and eyesight to record, prepare, and communicate appropriate reports and evaluations.
