Baltimore City Department of Social Services Children Protective Services/Safety 1525 N. Calvert Street Baltimore, MD 21202Main Purpose of Job
The main purpose of this position is to provide administrative assistance and support to the Unit Managers and overall Children Protective Services (CPS)/Safety Program. This position assists with preparing reports, and maintaining important and confidential records, schedules, expense accounts, and office supplies. The incumbent proofreads outgoing correspondence and reviews records for completeness and accuracy, and prepares and maintains statistical and numerical reports and records. This position may work with other program staff to read reports and summarize information to facilitate the supervisor's review, in addition to opening, sorting, reading and distributing incoming correspondence to assist with program efficiency and organization. The incumbent may type correspondence, reports and other documents using a keyboard of a personal computer in order to relieve the supervisor of operational details by assembling, compiling and summarizing data into a concise form and preparing reports and drafting correspondencePOSITION DUTIES
- Maintains and update spreadsheets tracking various reports and case information.
- Reviews incoming correspondence and route the correspondence to the appropriate staff for handling.
- Types letters, memos, and special reports from rough draft.
- Prepares tables and charts that require technical formatting.
- Collects and compiles data to prepare statistical reports that requires the use of a personal computer to type correspondence form drafts, charts, and reports.
MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Two years performing secretarial or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
Two years of experience using computer software such as Microsoft Word, Excel and Power Point to create presentations.
Two years of experience providing administrative support to Unit Administrators and Program Managers.
Two years of experience reviewing reports and correspondence for completion and accuracy.
SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the positionSELECTION PROCESS
