- Provides administrative support to ensure efficient operation of office.
- Maintain cleanliness of conference rooms and break rooms as needed.
- Answers phone calls, schedules meetings and supports visitors.
- Carries out administrative duties such as filing, typing, copying, scanning etc.
- Makes travel arrangements such as booking flights, cars, and hotel or restaurant reservations.
- Schedule food / catering, set up, clean up and actively engage with team members during events.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports team by performing tasks related to organization and strong communication.
- Ensures operation of office peripheral machines by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Stocking breakrooms with supplies when needed.
- Assist with facilitation of orientation tasks such as badges, scheduling, and employee photos.
- Manage and audit badge system.
- Manage vendor communications, changes, and requests.
- Additional administrative duties as assigned.
- High School diploma or equivalent.
- 3 years of administrative assistant experience.
- Previous manufacturing experience preferred.
- Demonstrated skill in organizing work, taking initiative, setting priorities and sound decision making.
- Deals effectively with company personnel on all levels ranging from production co-workers to management.
- Excellent oral and written communication skills to work effectively in a team environment.
- Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat.
