Job Description
PURPOSE OF POSITION
Under the general direction of the Deputy Chief Nursing Officer, Behavioral Health, assumes responsibility for secretarial, and staffing support to the Nursing Department.
AREAS OF RESPONSIBILITIES
RECEPTION:- Answer telephones utilizing excellent customer service skills of identification of self, courtesy, patience and tact.
- Takes and delivers messages timely and accurately
- Demonstrates awareness and respect for cultural differences of staff, patients and visitors.
- Perform clerical work in relation to records, files, invoices and reports using alphabetical and numerical procedures.
- Performs data entry and retrieval using automated office and computer systems.
- Reviews, records and submits reports to necessary to necessary departments.
- Take minutes in meeting upon requests.
- Checks in agency staff upon arrival and departure.
- Checks voicemail for absence calls frequently and no less than every two hours
- Maintains accurate sick call log.
- Records all absences accurately and notifies appropriate staffing personnel and Nursing Manager.
- Reconciles daily staffing round sheets by identifying census, number of patients on constant observation and number of staff by title.
- Ensures that safe staffing pattern is maintained by recruiting extra staff through agency and overtime.
- Maintains Census Log
- Notifies shortages to staffing personnel and Nursing Manager
- Recruits for overtime as directed
- Clåirvia (as requested)
- Enter daily census and number of patients on constant observation by unit
- Print round sheets
- Review round sheets in accordance to staffing plan
- Enter schedules as provided by Nursing Managers
- Review schedules for accuracy as identified by staffing plan
- Makes required Changes
- Provides master copy of schedules to each Nursing unit/ Manager
Minimum Qualifications
- A four-year high school diploma or its educational equivalent approved by a State’s Department of Education or a recognized accrediting organization; and
- Six months of full-time satisfactory experience performing secretarial functions and
- Ability to type at a minimum rate of 35 words per minute.
