Labcorp is seeking an Administrative Assistant to join its team in Monrovia, CA. The position is responsible for providing administrative support to the senior management team in a professional and timely manner. The candidate must be flexible to meet the demands of a fast paced environment. This position requires extensive exposure to confidential information requiring diplomacy, discretion and judgment. The Administrative Assistant will act as the “go to” person for any information, assistance or support.

Work Schedule: Monday through Friday from 8am to 5pm. Additional days and hours may be required depending on business needs.

Pay Range: $18 to $22 per hour

Job Responsibilities

  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the team’s behalf
  • Act as the administrative point of contact between the senior management team and internal/external clients
  • Manage the senior management team’s calendar, including making appointments and prioritizing sensitive matters
  • Provide senior management team with domestic and international travel management, expense management, event registrations and detailed meeting plan management
  • Organizing meetings and events, including scheduling, sending reminders and organizing catering
  • Create PowerPoint presentations and other meeting collateral as requested by leadership
  • Manage all aspects of the divisional employee rewards program, including promotion, submission and review of nominees, distribution of awards and related announcements
  • Assist with contract administration as needed including obtaining signatures, scanning and electronic filing for all required documentation
  • Track internal and external contacts and maintain contact database in an accurate manner
  • Maintain confidentiality in all aspects of the executive team and company information
  • Generate expense reports and assist in reconciling charges to ensure timely and accurate reimbursement
  • Track and maintain designated conference room schedules for availability and efficient use of resources
  • Communicate a wide variety of information to multiple audiences in the organization
  • Provide back-up administrative support to other departments as necessary

Job Requirements

  • High school diploma or equivalent is required
  • Associate’s or Bachelor degree is a plus; preferably in a Business concentration
  • 3-5+ years of experience supporting administrative functions
  • Prior experience in the biotech, pharma, diagnostics or medical device industry is highly preferred
  • Ability to thrive in a fast-paced environment and operate with a high sense of urgency
  • Demonstrate initiative, professionalism, poise and flexibility on a consistent basis
  • Comfortability working in an environment of frequent interruptions, conflicting priorities and varying workloads
  • Strong interpersonal skills with the ability to interface effectively with internal and external clients
  • Highly developed written and verbal communication skills including report writing, presentations, email correspondence
  • Strong organization, follow up and prioritization skills with the ability to manage concurrent projects
  • Ability to work with all levels of leadership as well with people of diverse backgrounds
  • Advanced experience in Microsoft Office applications; Outlook, Teams, Word, PowerPoint and Excel
  • Excellent calendar management skills and demonstrated history of complex scheduling with consistent follow through
  • Experience with Concur or a similar online travel tool is highly desired
  • Effectively exercise discretion and judgment in handling confidential/proprietary information
  • Ability to provide support for business-related tasks during off-hours on a periodical basis
