We are seeking a highly organized and detail-oriented Family Office Coordinator to support the personal and financial management of the Principals and their family. They will play a critical role in ensuring smooth day-to-day operations for the Family Office.


What you'll do

Responsibilities include:


  • Personal Financial Management: Provide comprehensive support for the Principals’ personal bank accounts, credit cards, and overall financial activities, including processing reimbursements and managing daily transactions.
  • Accounts Payable and Recordkeeping: Manage full-cycle Accounts Payable, including bill payments, wire transfers, bank deposits, and invoice processing. Maintain accurate financial records in QuickBooks and ensure timely reconciliations of bank and credit card accounts.
  • Reporting and Reconciliation: Prepare and review monthly cash flow reports and financial statements. Track and forecast cash flow related to real estate portfolios, charitable contributions, and personal finances.
  • Tax Support: Assist in the preparation of complex individual, partnership, and corporate tax returns, working closely with tax advisors and internal teams.
  • Administrative and Operational Support: Serve as a key point of contact for Principals, their family, attorneys, and agents. Provide high-level administrative support including managing correspondence, scheduling meetings (in-person and virtual), preparing agendas, taking meeting minutes, and generating reports and communications for internal and external stakeholders.
  • Internal Coordination: Collaborate with senior leadership to support organizational needs, ensuring efficient planning and execution of company meetings and special projects.


The ideal candidate will have a proven ability to exercise sound judgment and discretion, communicate clearly and professionally, and demonstrate a high level of confidentiality and poise when engaging with individuals at all levels.


This is a full-time, on-site role located in Champaign, IL.


What you'll bring

  • Valid driver's license
  • Associate's degree or equivalent in business, accounting/finance, or related field
  • Minimum of 1-3 years of related experience, preferably in an executive assistant role
  • High level of integrity and confidentiality
  • Understanding of accounting principles and financial analysis, experience with financial reporting and budgeting/forecasting.

  • Starting salary - $45,000-$55,000 annually

The starting salary range for this position reflects a good-faith estimate of compensation at the time of this posting. The final compensation offered to a candidate may vary based on several factors, including but not limited to the candidate's experience, education, skills, and other qualifications relevant to the role.
