Work Hours: The OTL is required to share schedule responsibility with other assigned OTL staff. Shifts are scheduled for 12 hours with typical shifts between 08:00-20:00/20:00-08:00. Work hours can vary due to fluctuations in donor activity. Assigned day and/or shift can be altered according to staffing needs and may vary and/or follow a schedule as determined by the Clinical Department. OTL staff must be available evenings, holidays, and weekends as required, and includes working overtime as approved and required.

Summary Of Functions
The Organ Team Lead (OTL) provides instruction and guidance to clinical staff on organ donor cases. Incorporating policies/practices and ensuring the transfer of knowledge into clinical practice, the OTL ensures consistency in process and facilitates communication both internally and externally. The OTL oversees numerous aspects of daily donor management including clinical organ donor management strategies in collaboration with Intensivist, organ allocation, organ recovery, documentation, quality assessments and collection of data. The OTL will demonstrate fiscal responsibility with appropriate utilization of clinical resources including staff activity and assignments and by monitoring organ donor case performance metrics. The OTL must be able to communicate professionally and direct staff through the decision-making process. The OTL will strive to continuously improve the quality of our practices, performance and service to our transplant center and hospital partners, our donors, and their families. This role will actively foster an organizational culture that is based on collaboration, support, process improvement and constructive feedback.
Duties And Responsibilities
Essential Job Functions:
Donor Case Management
Education: BS/BA degree preferred, or equal job experience.
Experience: Procurement Transplant Coordinator (2 Years) with PTC II status with preceptor experience. Demonstrated excellence in knowledge of clinical evaluation and management of the organ/tissue donor. Preferred experience providing clinical education.
Certification/License: Basic Cardiac Life Support (BCLS) certification required at the time of employment. Required to be Advanced Cardiac Life Support (ACLS) and Pediatric Advanced Life Support (PALS) certified within 12-months of employment. Required to be a Certified Procurement Transplant Coordinator (CPTC). OneLegacy requires employees to maintain a current California driver’s license and vehicle insurance with a minimum of $100,000/$300,000 bodily injury liability and uninsured motorist coverage.
Salary Range: $103,474.28-$135,222.36

Duties And Responsibilities
Essential Job Functions:
Donor Case Management
- Supports the organization’s Standards Professional Conduct as outlined in OneLegacy’s policies and procedures, mission, vision, and values of the organization.
- Follows OneLegacy’s values in integrity, excellence, service, fiscal responsibility, teamwork and cohesiveness.
- Provides clinical direction to ensure practice consistency with OneLegacy policies and procedures and standards in collaboration with the Intensivist team, On-call Supervisor, Organ Procurement (SOP) and/or Administrator on Call (AOC).
- Consults Medical Director and/or Medical Intensivist. Ensures clinical staff adheres to Intensivist team recommendations and direction.
- Collaborates with other departments such as Family Care Services, Donation Development, Donor Allocation and Tissue recovery to ensure all necessary personnel are dispatched to appropriate hospitals at appropriate time to support OneLegacy activity.
- Collaborates with Transplant Coordinators and Transplant Surgeons to resolve issues, uphold governing standards and build working relationships.
- Consults with on-call SOPD or AOC for any situations that fall out of the normal course of activities for policies and practices.
- Works with the on-call SOPD, to schedule Orientees for field experiences including activities to enhance the understanding of donation/transplant.
- Ensures staff utilizes digitalDONOR Mobile Application GPS tracking during scheduled work hours including entering staff activity on all referrals and cases with a beginning and end time to enhance time-keeping records.
- Notifies and receives approval from on-call SOPD for staff activity that includes any overtime hours.
- Performs QA of documentation entered into digitalDONOR and DonorNet on referrals and/or cases. Including review of serology report, ABO and labels.
- Ensures all organ recovery and coroner paperwork is accurate and all tasks completed prior to clearing staff from site.
- Ensures documentation in digitalDONOR required for referral and case management is completed during real-time referral and donor management.
- Performs all shifts from OneLegacy Azusa Corporate Office.
- Maintains a functional company issued cellular phone to ensure availability to staff, the Care Center and Administration for referrals and cases. Ensures support coverage, as needed.
- Maintains ability to review digitalDONOR at all times throughout shift.
- Always maintains professional communication through e-mails, text messages and verbal/telephone conversations.
- Regularly reviews OneLegacy, CMS, UNOS and AOPO policy and standards.
- Creates a positive and supportive environment, including being an advocate for the clinical staff, the hospital and transplant center partners, the donors, and their families.
- Performs real-time digitalDONOR and DonorNet audits and provides feedback on cases to appropriate person(s).
- Participates in identification of knowledge gaps through real-time assessments.
- Ensures continued clinical knowledge and proficiency in referral and donor case management by performing a minimum of 2 shifts per month in the field.
- Obtains accurate medical information for evaluation and evaluates potential organ and tissue donors according to OneLegacy, regulatory and/or credentialing body guidelines.
- Discusses and supports the donation process with family members or Authorizing/Acknowledging Party (AP).
- Coordinates all aspects of donor management with appropriate hospital Critical Care and/or Operating Room staff.
- Assures accuracy and completeness of charting in the hospital and OneLegacy Electronic Medical Record systems.
- Collaborates with Medical Examiner/Coroners, tissue recovery staff, hospital staff, social services and clergy.
- Coordinates the logistics for multiple organ procurements and allocation cases. Maintains consistent and clear communication with Donor Allocation Coordinator (DAC) regarding organ allocation.
- Verifies that all medical-legal documentation necessary for organ recovery is completed according to OneLegacy, governing and/or credentialing body guidelines.
- Provides organ allocation staff with organ/donor information, as required.
- Responsible for all chart documentation in the OR during recovery and post recovery including review and completion of Confidential Donor File (CDF) at the conclusion of each completed case.
- Reviews Not Brain Dead Status Board (NBD) when in a hospital for an active referral. Conduct a site visit on NBD referrals and chart in EMR system.
- Participates in “Presence with a Purpose” in collaboration with the Donation Development Coordinator (DDC) to educate hospitals on the donation process along with current and upcoming donation related events.
- Coordinates and conduct scheduled education on donation and transplantation in partnership with the DDC in assigned hospital(s).
- Participates in OneLegacy signature events such as: OneLegacy Donation and Transplantation Symposium, Donate Life RunWalk, etc. as requested
- Promotes positive relationships with all hospital and clinical staff.
- Participates in hospital meetings to assist with presenting information or addressing issues relating to the donation process.
- Joins hospital sponsored clinical rounds and/or conducts other case-finding activities.
- Debriefs Donation Development Coordinator (DDC) after a case, as needed.
- Provides clinical consultation for meeting preparation and reports.
- Always maintains professional conduct with both internal and external customers.
- Cooperates with other personnel to achieve company objectives and maintains good employee, interdepartmental and public relations.
- Meets with and solicits advice from the Medical Director(s), Director of Organ Clinical Operations, Clinical Manager, Organ Recovery (CMOR), SOP (Supervisor on call), OTL, Transplant Centers, Attending Physicians, Director of Nursing Services and Nursing Staff concerning donor patient care.
- Maintains an effective and friendly working relationship with health professionals, physicians, consultants and family members involved in every donation process
- Complies with all UNOS policies, standards, and requirements.
- Required attendance at staff meetings and scheduled trainings unless on call, post-call or protected time off (UPTO/PTO, bereavement, jury duty, etc.) as deemed necessary by Leadership.
- Supports the organization’s Standards of Professional Conduct as outlined in OneLegacy Policies and Procedures and is the example of OneLegacy’s mission, vision and values.
