The opportunity
Delaware North is seeking an Executive Assistant to join our team at our Global Headquarters in Buffalo, New York. In this role, you will provide personalized assistance, handling tasks to ensure smooth operations and effective communication for Delaware North's executives. The Executive Assistant is responsible for managing calendars, coordinating and scheduling travel, managing correspondence and communications, organizing meetings, and maintaining the strictest confidentiality. This role requires an individual that is professional, polished, proactive, detail-oriented, and possesses exceptional organizational and communication skills.
Pay $28.00 - $31.00 / hour

What will you do?
- Perform administrative functions such as making complex travel arrangements and coordinating activities and meetings
- Maintain executive calendars and schedules, coordinate travel, arrange meetings and appointments, and coordinate across other executive calendars
- Screen incoming calls, properly routing calls and taking messages, as well as making outgoing calls for coordination of activities
- Independently responds to inquiries, verbally or in writing. Frequent contact with company executives and with executive personnel outside of company
- Perform routine clerical duties, such as sorting, filing, distributing mail, making copies, and mailing routine form letters. Opens and reviews all incoming mail. Screens, sorts mail, and forwards to appropriate area
- Organizes and maintains executive files. Prioritizes work to meet deadlines with minimal guidance as to established times. Orders supplies for department
- Responsible for assistance with or execution of special projects, as requested, managing deadlines and requirements to keep the project on track
- Minimum of 5 years’ experience in administrative position supporting executives in the C-suite, including experience with office administrative procedures, use and operation of standard office equipment
- Advanced experience with Microsoft Office (Word, Excel, PowerPoint) and Zoom. Advanced experience managing and coordinating multiple Outlook calendars
- Experience researching and arranging both business and personal travel
- Previous experience with enterprise-wide systems
- Ability to communicate clearly and effectively in both verbal and written communication
- High level of interpersonal skills to handle sensitive and confidential situations. Position requires demonstrated poise, tact and diplomacy
- Excellent organizational skills
- Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Ability to prioritize and handle multiple tasks simultaneously
- Must handle inquiries, requests and present information in a professional manner
- Ability to provide support off hours (nights, weekends) as required
