Hylton-Rodic Law PLLC is hiring a detail-driven, solution-minded Executive Assistant & Operations Coordinator to help lead behind the scenes at our growing boutique IP law firm.

This role blends executive support, operations, and legal admin all in one. You’ll be the trusted right hand to our Managing Attorney, making sure the wheels of the firm turn smoothly every day. What You’ll Do

In this dynamic role, you’ll work directly with the Managing Attorney to ensure the office and team operate smoothly. You’ll manage calendars, coordinate meetings, draft polished documents, support HR processes, and help run the day-to-day operations of a busy legal practice.

Expect to prepare and proofread legal correspondence, assist with billing, track deadlines, and coordinate everything from travel to hiring to internal projects. You’ll be a key player in improving processes, communicating across teams, and making sure nothing slips through the cracks.

This Includes

  • Coordinate and manage executive scheduling, meetings, and travel
  • Own daily operational tasks—from billing to HR onboarding to vendor wrangling
  • Format legal documents and support timekeeping, reporting, and correspondence
  • Keep our project boards (and people) on track with task management tools
  • Improve systems, streamline processes, and catch the things no one else sees
  • Serve as a communication bridge between the Managing Attorney and the team
  • Create structure where there is none—and make it better every time

Requirements

What You Bring

  • 3+ years of experience in an Executive Assistant, Legal Admin, or Ops Coordinator role
  • Experience in a law firm or other professional services firm (bonus points!)
  • Ridiculously organized, with a sixth sense for what needs to be done next
  • Confident communicator who writes and speaks with clarity and polish
  • Tech-savvy: Google Workspace, Microsoft Office, Asana, Clio, Trello—you name it
  • High level of discretion, initiative, and maturity
  • A “get-it-done” mindset and a love of making things run smoother

Compensation & Perks

  • $70,000–$100,000/year, based on experience
