Job Overview
The Sr. Associate, Customer Care Coordination serves as a primary point person, information source and/or project administrator for Customer Excellence.
Responsibilities
- Provides information by answering questions and requests.
- Responds to complex and sensitive issues on behalf of the Sr. Manager(s) and department.
- Ensure that department related tasks are coordinated by serving as a point person, information source and/or project administrator.
- Completes and/or supports operational requirements by coordinating and arranging meetings, preparing agendas, reserving and preparing facilities and itineraries, maintaining manager/department calendar (making travel arrangements, various other necessary tasks).
- Assemble data for preparation of reports, budgets, business plans or related planning activities within the specific time frames required and ensure the accuracy of the data by compiling information from various sources. Interprets policies and procedures clearly and accurately when responding to inquiries.
- Ensure the accuracy and timeliness of outgoing correspondence by performing administrative duties (typing memos, preparing spreadsheets, correspondence, and/or confidential reports). May take and transcribe dictation.
- Perform all administrative functions in accordance with company procedures and regulations (material requests, attendance processing, invoice processing, coordinating and distributing vendor contracts, organizing conference and function bookings, etc.)
- Completes and/or supports operational requirements by coordinating and arranging meetings, preparing agendas, reserving and preparing facilities and itineraries, maintaining manager/department calendar (making travel arrangements, various other necessary tasks).
- Support Management with expense reports and misc. travel issues. Ensures completion of department related tasks by coordinating preparation of reports and verifying data.
- Interacts with Purchasing and relevant departments.
- Provide monthly budget reports to Management and manage budgetary questions and gap analysis. Coordinate vendor contracts with Purchasing and other relevant departments.
- Ensures completion of department related tasks by coordinating preparation of reports and verifying data.
- Resolves administrative problems by reviewing the issue(s), identifying solutions and communicating with appropriate parties.
- Creates and maintains office procedures for recordkeeping systems, forms control, office layout and budgetary and personnel requirements.
- Analyze operating practices and implement changes as needed.
Qualifications/ Education
- Bachelor’s Degree or equivalent work experience with emphasis in Business.
- Must have 3+ years (total) of experience in the following:
- Administration ---> General Knowledge of administrative procedures, process/project development, and system procedures.
- Automotive Retail ---> General knowledge of retail process and procedures, with emphasis in New & Pre-owned sales, accessories, service and parts.
- General Business ---> General knowledge of fundamental business practices and concepts that influence the success and profitability of the organization.
- Parts & Accessories ---> General knowledge of parts and accessories business, marking strategies and other business practices.
- Processing ---> General Knowledge of processes, quality control, costs, and other techniques in order to achieve maximum efficiency.
- Must perform effectively and professionally in a pressured, unstructured environment, to execute multiple tasks/projects simultaneously.
- Manage and prioritize workflow under minimal supervision.
- Must be able to think on your feet and resolve concerns that are oftentimes uncharted and time sensitive.
- Must have a positive attitude and ability to motivate teams.
- Must be skilled in taking on projects on short notice while meeting project deadlines.
- Must have proven ability to effectively and confidently communicate both verbally and in writing. Must have excellent people skills.
