This role reports directly to our CEO and requires exceptional communication skills, discretion, and the ability to manage multiple priorities while maintaining a high level of professionalism. Experience in fast-paced operational industry is preferred.

Requirements
Duties & Responsibilities:
- Provide high-level administrative support to the CEO, COO, and other senior executives when advised.
- Manage complex calendars, schedule meetings, and coordinate travel (domestic and international), including flight logistics and accommodations.
- Prepare executive reports, presentations, correspondence, and meeting materials.
- Act as a liaison between the executive team and internal departments, vendors, clients, and regulatory agencies.
- Perform contract review and provide executive summaries.
- Organize and maintain confidential files, records, and documents in compliance with company and FAA standards.
- Plan and execute on-site and off-site meetings, events, and special projects.
- Screen and direct calls, emails, and inquiries in a professional and timely manner.
- Track deadlines, deliverables, and project milestones for executive initiatives.
- Handle sensitive information with discretion and maintain the highest level of confidentiality.
- Other duties as assigned.
- 3+ years of experience as an Executive Assistant, preferably in the aviation, aerospace, or transportation industries.
- Eastern Time Zone Preferred.
- Associate or bachelor’s degree in business administration, Aviation Management, or related field (preferred).
- Proficiency in Microsoft Office 365 Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams).
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills.
- Ability to anticipate needs, think critically, and offer solutions.
- Comfortable working in a fast-paced, high-pressure environment.
- Must be able to pass background checks and maintain confidentiality of sensitive business and operational matters.
