Job Summary (includes but is not limited to the following, other duties may be assigned)

Facilitate the uploading of documentation into the Worley Encompass WebPortal for uploading into the Encompass Database.

The Engineering Specialist (ES) will be responsible for managing documents both current and archival (including Drawings; Incident Investigations; User/OM Manuals; Technical Specs; Reports such as Predictive Maintenance; Covered Piping; Boiler Pressure Vessel, SCR Catalyst; HRSG; Boiler Machinery; NFPA, Transformer; PRC and Battery. Also included in the upload were misc. items such as the Engineering Technical Bulletins and the Plant Completion & PRC Reports

The ES will adhere to record retention policies, safeguard information and assist various employees in retrieving hard-copy and electronic data as needed. The ES will store, manage, and track company documents including scanning, organizing, maintaining, and archiving company documents while adhering to the company's document lifecycle procedures.

The ES will receive and process Requests for Information (RFIs) from employees or clients and maintain the requests via tracking logs. Periodically, the ES might be responsible for training employees on records management procedures and policies, which include documentation, retention, retrieval, destruction, and disaster recovery. They also perform administrative tasks as needed and assist with migrations and audits.

Job Responsibilities

  • Track drawing update status, from intake of hand markups to final approval and distribution
  • Fulfill any RFIs or Document Print Requests from internal staff/engineers and external approved clientele
  • Maintain and update online/electronic drawing database to confirm drawing titles and database search titles are consistent and descriptive to better assist the end-user with keyword and title searches
  • Research applicable documentation in all network drives for the purpose of drawing document and project support
  • Teach and Instruct end-users on proper research techniques for drawing retrieval in company network and database
  • Audit existing drawings/documents for consistency and quality
  • Coordinate updates to drawings/documents with third-party
  • Assist with Program data management:
  • Regularly makes decisions on non-routine or escalated technical issues and knows when to seek help.
  • Checks own work and possibly the work of others; work results are of the highest quality standards and advanced technical competency.
  • Errors may be serious, usually not subject to direct verification or check.
  • Duties and tasks reflect substantial variety and complexity.
  • Resolves the most complex technical issues, conferring with Team Leader occasionally; may serve as resource to others in resolution of complex issues.
  • Works under minimal supervision.
  • Prioritizes own weekly duties as assigned by management. Sets own schedule to accomplish these duties in the time frame set by management.
  • Regularly provides on-the-job skills training to others in the use of the the Calpine Document Control Database.

Job Requirements

  • Bachelor’s degree in Library Science or related field such as Archiving or Records Information Management preferred or equivalent experience
  • Generally 5+ years directly related experience as it pertains to Document Control and working working with large databases.

Technical Skills (will be expected to master in the first year)

  • Update and maintain online document databases- includes database improvement and development
  • Understand and implement proper filing naming conventions
