The Human Resources Assistant will play a key role in supporting day-to-day HR operations, with a strong focus on recruitment activities. This position is responsible for sourcing candidates, conducting phone screens, coordinating interview schedules, and occasionally participating in interviews. The ideal candidate is highly organized, detail-oriented, and confident in managing professional communication over the phone and via email.

Essential Functions

  • Assists with end-to-end recruitment processes, including job postings, resume screening, and candidate tracking.
  • Posts open positions on various internal and external platforms.
  • Conducts initial phone screens to evaluate candidate qualifications, interest, and fit for the role.
  • Schedules interviews and coordinates communication between candidates and hiring managers.
  • Maintains accurate, up-to-date records in the applicant tracking system (ADP Workforce Now).
  • Supports hiring events and recruitment campaigns as needed.
  • Communicates promptly and professionally with candidates to ensure a positive experience throughout the hiring process.
  • Participates in the planning and execution of employee engagement events.
  • Maintains the integrity and confidentiality of all human resources files and records.
  • Ensures compliance with all applicable federal, state, and local employment laws and regulations.
  • Provides general administrative support to the Human Resources team.
  • Performs other related duties as assigned.

Minimum Qualifications

  • Education: High school diploma or equivalent.
  • Experience & Certifications: 1 year of experience performing administrative/clerical duties.
  • Strong phone and interpersonal communication skills.
  • Proficient with Microsoft Office Suite or related software.
  • High level of discretion and confidentiality.

Preferred Qualifications

  • Excellent verbal and written communication skills.
  • Excellent organization skills and attention to detail.
  • Experience with Applicant Tracking Systems.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.

Physical Demands

  • Ability to remain in a stationary position.
  • Moves throughout the museum.
  • Ascends/descends stairs throughout the museum.
  • Observes and reacts to the needs of guests, staff, volunteers, and community partners.
  • Communicates and exchanges accurate information with guests, staff, volunteers, and community partners in a variety of formats including in-person, electronically, and over the phone.
  • Operates a computer and/or office equipment efficiently and accurately.
  • Manipulates and moves components weighing up to 25 pounds, including those that may be low to the ground or above eye level.
  • Rarely works in outdoor environments.
  • Frequently works in indoor environments.
  • Coping with demands and stresses associated with job and work environment.
  • Kneeling and Crouching (Rarely).
  • Weight Levels – Lift, Push, Pull
  • Up to 25 pounds

Expected Hours of Work & Travel

  • This position is full time and primarily works Monday – Friday. Hours can vary based on the needs of the organization.
  • Travel throughout the Central Florida area may be required to attend conferences or participate in community events.

Telecommuting

This position is required to be onsite 100% of the time.
