Key Responsibilities & Duties
- Administrative & Executive Support
- Provide direct support to executive assistants and project managers, ensuring seamless day-to-day operations.
- Assist with scheduling, calendar management, meeting coordination, and travel arrangements for leadership.
- Prepare, edit, and distribute correspondence, reports, presentations, and other documents as needed.
- Maintain confidential records and handle sensitive information with discretion and professionalism.
- Operations & Process Coordination and Support
- Support the development and implementation of administrative procedures to optimize efficiency.
- Assist in managing office operations, including supply inventory, vendor coordination, and facility requests.
- Track and maintain documentation for compliance, internal policies, and reporting requirements.
- Collaborate with IT and HR to support onboarding and administrative needs for new hires.
- Compile data and conduct analysis to support reporting, policy reviews, and continuous improvement efforts.
- Project & Event Coordination
- Provide logistical support for internal projects, corporate initiatives, and company-wide events.
- Assist in tracking project deadlines, deliverables, and follow-ups to ensure timely completion.
- Coordinate department meetings, including agenda preparation, note-taking, and action item tracking.
- Support project teams by conducting preliminary research and analyze findings to provide a summary of key findings or trends.
- Communication & Stakeholder Engagement
- Serve as a liaison between administrative support teams, project managers, and executive leadership.
- Ensure clear and timely communication of important updates, policies, and procedural changes.
- Support internal communications by drafting emails, newsletters, and announcements as needed.
- 3+ years of experience in an administrative or support role, preferably in a corporate or fast-paced environment.
- Strong organizational skills, with the ability to prioritize tasks and manage multiple deadlines.
- Excellent oral and written communication skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
- Ability to work independently while also collaborating effectively with teams.
