Administrative Secretary: CFCC – 1621 Eastchester Road

The Administrative Secretary at Montefiore Medical Group’s Comprehensive Family Care Center (CFCC) plays a vital role in supporting the operational and administrative functions of one of the system’s busiest primary care sites. This position provides high-level support to the site’s leadership team, including the Administrative Director, Assistant Administrator, Assistant Nursing Manager, and Medical Directors. The Administrative Secretary ensures the smooth coordination of meetings, staff communications, schedules, and personnel processes while acting as a central point of contact for both internal and external stakeholders. The ideal candidate is highly organized, detail-oriented, and capable of managing a fast-paced, high-volume workload with professionalism and discretion.
Responsibilities
Associates are eligible to apply for a lateral transfer after completion of one (1) year of service in their present position, with the following exception: an Associate who has received a written warning is not eligible for a transfer/promotion prior to six (6) months from date of issuance; an Associate who has been suspended is not eligible for transfer/promotion prior to one (1) year from date of suspension. Part-time Associates who have completed their probationary period can move to full-time vacancies within their department provided such movement will not unreasonably reduce the operational efficiency of that department. Probationary period is three (3) months for full-time employees, and four (4) months for part-time employees who works more than 3/5 of the normal workweek.

Responsibilities
- Provides comprehensive administrative and clerical support to the Administrative Director, Assistant Administrator, Assistant Nursing Manager, Medical Directors, and administrative leadership team.
- Manages day-to-day operations of the administrative suite, including calendar management, meeting coordination, and communication flow.
- Acts as a liaison between administrative leadership and staff, ensuring seamless coordination of projects, initiatives, and directives.
- Oversees clerical functions, including supervising schedules, coordinating site events, processing parking vouchers, and tracking site-wide communications.
- Maintains confidential personnel records, assists with onboarding documents, tracks licensure and compliance items, and submits work orders.
- Serves as timekeeper for KRONOS, ensuring accuracy of timecards for over 100+ staff across multiple departments.
- Supports over 100 employees across clinical, nursing, and administrative roles, offering back-end operational support and troubleshooting.
- Handles special assignments, reporting, and presentations as delegated by leadership.
- High School Diploma or GED required; Associate’s Degree preferred.
- Minimum 2 years of administrative experience in a healthcare or ambulatory setting.
- Strong organizational and time-management skills; ability to prioritize and multitask in a high-volume environment.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with KRONOS or similar systems.
- Demonstrated professionalism, discretion, and commitment to confidentiality.
- Familiarity with clinic workflows and basic medical terminology strongly preferred.
