About the role:

As an Order Administrator working out of our Slate studio in Fort Collins, you’ll play a vital role in keeping our projects running smoothly from quote to completion. You'll manage administrative tasks tied to quotes, orders, and service warranty punch processes—ensuring accuracy and efficiency every step of the way. This role supports the sales team by handling order entry, vendor coordination, and project tracking. You’ll work closely with internal partners—including project managers and the scheduling team—to align timelines and maintain seamless workflows, even as priorities shift. You’ll also have the opportunity to engage directly with clients during service warranty and punch activities, helping ensure a smooth and positive customer experience. Along the way, you’ll participate in team meetings and contribute to process improvements that keep us moving forward.


What you’ll do:

  • Manage administrative tasks related to quotes, pricing, and vendor communications to support sales and project teams.
  • Enter and process orders, including submitting purchase orders to vendors and subcontractors.
  • Collaborate with vendors, factories, and internal teams to monitor order status, lead times, and resolve issues quickly.
  • Provide backup support for quoting and order conversions during team absences.
  • Support service warranty and punch list activities, including coordinating site visits, product quotes, and customer communication.
  • Maintain accurate project data using tracking tools such as Smartsheet.
  • Adapt to shifting priorities across order management, administrative, and service tasks.
  • Share relevant punch/SVC/Warranty updates with internal teams to aid installation planning.


Who you are:

  • You’re an excellent communicator with strong verbal, written, and interpersonal skills.
  • You deliver outstanding customer service and build strong relationships with clients and teammates.
  • You’re highly organized, detail-oriented, and manage time effectively in fast-paced environments.
  • You take initiative, solve problems independently, and adapt well to shifting priorities.
  • You’re proficient in Microsoft Office, especially Excel (basic formulas, pivot tables), with strong data entry skills.
  • You have experience in administrative support or order coordination (preferred).
  • You’ve worked in customer-facing roles—such as retail or hospitality—and excel in dynamic, service-driven settings.
  • You bring experience in the furniture industry (a plus, but not required), and hold a high school diploma or equivalent.


Work Environment:

Hybrid Work Environment: This full-time role is based in Fort Collins, CO and follows a hybrid model, requiring in-office presence 3 days a week to foster effective team collaboration and mentorship, with the flexibility of remote work on other days.


Compensation:

$21 - $27 per hour
