We are looking for a highly effective Executive Administrative Assistant to provide personalized support to a leadership team member. You will work on a variety of tasks aimed at ensuring smooth planning and execution of the executive’s agenda. As an Executive Administrative Assistant, you will be part of a dynamic team within an exciting work environment. You should be an ambitious self-starter who is highly motivated, detail focused and excel at prioritization. The capability to develop a trusting relationship with the executive and maintain the highest levels of confidentiality are critical in this role.
Responsibilities:
- Manage the executive’s dynamic calendar diligently and effectively
- Act as the point of contact between the executive and internal/external clients
- Undertake the tasks of receiving calls, taking messages and routing correspondence
- Handle requests and queries appropriately
- Arrange meetings and appointments and provide reminders
- Coordinate detailed fluid travel itineraries
- File expense reports and ensure timely reimbursement
- Monitor and order office supplies
- Produce reports, presentations, and briefs as needed
- Develop and carry out an efficient documentation storage system
- Coordinate off-sites, large team meetings and events
- Plan and coordinate seating, office improvement projects and equipment upgrades
- Maintain appropriate discretion and confidentiality at all times
Minimum Qualifications:
- 7+ years of experience as an executive administrative assistant supporting C-level executives
- 7+ years of experience with office management systems and procedures, including knowledge of MS Office, SharePoint and related communication tools
- Proficiency in English
- Exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
- Superb verbal and written communications skills
- Detail-focused, self-starter, highly motivated individual with positive energy
- Exceedingly collaborative and demonstrates a high degree of customer focus
Preferred Qualifications:
- Bachelor's Degree
- 10+ years of executive level support experience at the executive level
