Overview
Primary responsibilities include insurance eligibility, patient registration and reconciliation within the patient registration software, properly entering patient demographics, as well as greeting patients while answering the phone lines. Also responsible for taking appropriate phone messages, scheduling appointments, creating referrals, completing chart prep, providing information to and for the patients, maintenance and upkeep of the reception area, distributing mail and assisting other employees as needed. The office assistant also identifies, corrects, and reports compliance, insurance, and billing anomalies as they are recognized. Assists in training of new office assistants. Position requires rotating to all urgent care locations.

What You Will Do
- Ensures all patients' registration and demographics information is correct and updated as needed. Monitors daily schedule, schedules/reschedules appointments when necessary, i.e. doctor’s illness, meetings, or vacation. Obtains referrals and insurance information. Completes clerical chart prep, prepares and prints visit summaries, receipts and other related documents. Reports any potential compliance concerns to the appropriate person.
- Recommends to practice director any process improvements needed to improve quality of service. Maintains appearance and cleanliness of the reception area. Actively engages in team huddles and staff meetings. Assist in training of new office assistants.
- Promotes the daily workflow. Greets all visitors to the practice with immediate acknowledgment with eye contact and smile. Check-in process and demographic updates done in timely manner. Manages patient expectations with clear explanations. Uses good telephone technique including 4 part greeting and 3 rings or less guideline. Observes transfer and on-hold techniques.
Education
- High School Diploma or GED, (Required)
- 1 year Medical Office experience (Preferred)
