Description
ESSENTIAL JOB FUNCTIONS
- Plan and execute social events including holiday parties, themed nights, mixers, family events, and more
- Collaborate with team leads, vendors, and staff to coordinate logistics, entertainment, catering, and décor
- Create event timelines, setup plans, and run-of-show documents
- Serve as the primary point of contact for guests or members during events
- Ensure a welcoming, high-touch atmosphere from arrival to departure
- Collect and incorporate feedback to continuously improve future events
- Liaise with vendors, entertainers, and contractors for event execution
- Work with F&B, facilities, and housekeeping to align setup, staffing, and teardown needs
- Ensure all vendors meet safety and quality standards
- Collaborate with marketing or communications team to promote events via emails, social media, flyers, and calendars
- Maintain and update event listings and RSVP platforms
- Take photos or coordinate photography for post-event content
- Track event attendance, budgets, and expenses
- Manage supplies and maintain event storage areas
- Support administrative tasks related to booking, invoicing, and guest communication
- Bachelor’s degree in Hospitality, Marketing, Event Management, or related field preferred
- 2+ years of experience in event planning, hospitality, or customer service
- Strong organizational and multitasking abilities
- Excellent interpersonal, communication, and problem-solving skills
- Ability to work evenings, weekends, and holidays as needed for events
- Proficiency in Microsoft Office; experience with Canva, Eventbrite, or booking tools a plus
Must be able to meet the following minimum physical requirements for at least an eight-hour shift:
- Physical Stamina: Sit for extended periods of time, see and read a computer screen and printed matter with or without vision aids, enter data into computer, operate standard office equipment, use a telephone, hear and understand at normal levels and on the telephone, speak so that others may understand at normal levels and on the telephone, stoop, reach overhead, grasp, push, pull, move or lift up to 25 lbs. on an occasional basis.
- Hearing / Speech: Must be able to effectively engage in one-on-one communication with guests, members, and customers and use a 2-way radio to communicate clearly and accurately with co-workers.
- Vision: Must be able to accurately read instructions, reports, and log sheets. Must be able to work with computers and PDAs in varying light conditions.
- Literacy: Must be able to produce, read and understand reports, including security, incident and police reports. Must be able to analyze and process written information from a variety of sources and effectively communicate content of reports.
- Chemicals/Agents: Must be able to work safely with chemicals according to SDS sheets and all applicable laws, codes and regulatory requirements.
