Receptionist-Conservatory of Music

Job Overview

Responsible for coordinating public-facing office reception area. Reports to the Division Finance & Operations Manager and pays $18.50-$19.00/hour.

Receptionist Work Schedule: 28hrs per week 10 months/ 12 hrs per week for 2 months: 1317hrs annually.

M-F 6hrs a day, generally 9am-3pm, shifts to 2pm-8pm on performance nights. Some Saturday performance work is required and will offset the weekly schedule, as needed.

Duties and Responsibilities

  • Receives Conservatory and CSA department visitors, responds to general Conservatory emails and phone calls, forwarding them to the appropriate person for follow-up, receives and distributes daily mail and packages, assists with outgoing express mail drop offs.
  • Sells tickets to all Divisional ticketed events and maintains the ticketing database as primary user, including system event set up and required reporting.
  • Actively maintains knowledge of daily building occupancy, adhering to general security and safety protocols in order to liaise with appropriate staff and Public Safety officers when concerns arise
  • Primary contact for completing necessary Work Orders in order to maintain a smooth flow of activity in Armerding, including building keys, janitorial, repairs.
  • Maintains building posting boards and updates building signage, when directed; organizes and tracks office supply needs, by ordering and maintaining agreed-to inventory levels of required items; oversees Armerding printer/copier maintenance, ensuring all are available for consistent use
  • Maintains key box for loaning out: piano keys, room access, etc.; coordinates lost and found items for Armerding, respond to requests seeking lost items, managing their return, and maintains cleanliness and order in Reception Area, Hospitality Room, and Armerding Faculty Lounge.
  • Represents Conservatory on the Safety team and assists others in completion of necessary paperwork.
  • Assists CSA, when needed, e.g., distribution of music, parking passes to CSA families, etc.
  • Keeps operational listings such as building key access, parking passes, student lockers, inventories, and in-house directories.
  • Manage morning lobby cleanup and straightening and other high traffic areas.
  • Assist with research and special projects as requested, including off campus shopping and deliveries.

Qualifications

  • College Degree required
  • Computer proficiency in Word, Excel, and Access. Ability to learn and master ticket sales software.
  • Excellent customer service skills in person, on the phone and via email: gracious when interrupted, and calm during a flurry of activity.
  • Efficient, detail-oriented, able to multitask with ease.
  • Music/fine arts background preferred

Physical Requirements

The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 10 pounds.
