The accounting specialist, payroll position is primarily responsible for supporting payroll and benefit operations, related accounting, and some other clerical work. This includes timekeeping validation and correction, processing complex payroll with multiple wage rules in a timely and accurate manner, updating payroll for 401k and other benefit election changes, creating journal entries for these transactions and reconciling related payroll balance sheet accounts. This employee will work closely with schedulers, HR, and directly support employees with payroll or timekeeping issues. Clerical work may include but is not limited to recording donations in the financial system, accepting cash and making bank deposits, invoicing work, and backing up accounts payable.

- Validate timekeeping ahead of payroll processing. Ensure completeness and accuracy of recorded time and the assigned payroll codes against schedules. Proactively and independently investigate and resolve differences.
- Collect and record vacation time and vacation cash outs in the timekeeping system, limiting usage to available leave balances.
- Upload validated timekeeping hours into the payroll system and perform controls to ensure completeness and accuracy of the upload.
- Add all one-time payroll special handling requests to the team payroll tracker, and record the items in the payroll system for the pay run, with thorough attention to detail and zero tolerance for errors.
- Validate payroll-related benefits, bonuses, and taxes being processed in each pay run.
- Prepare and upload the journal entries related to each pay run, related tax payments, payroll fees, and monthly leave accruals.
- Ensure all final timekeeping hours, vacation requests, and all other special handling requests are saved electronically in the pay run's folder.
- Assist employees with timekeeping and payroll questions with a positive and helpful demeanor.
- Update employee records in the payroll system for changes in employee and employer retirement contributions.
- Create and pull reports to help business leaders identify staffing inefficiencies and areas for improvement.
- Help with annual W2, 1095, and benefit plan document distribution.
- Coordinate with HR and schedulers to ensure accuracy of payroll and benefits.
- Perform clerical tasks that may include but are not limited to recording donations, accepting cash and making bank deposits, invoicing, maintaining and updating employee records, assisting with benefit enrollments, etc.
- Back up accounts payable and related credit card processing, ensuring timely payment while optimizing cash flows.
- Create intercompany entries associated with external payments.
- Help to improve and automate all processes, including moving from physical paper copies to digital support.
- Proactively interface with timekeeping, payroll, and benefits vendors to resolve issues and improve processes.
- Prepare payroll and benefits journal entries and related reconciliations.
- Support Kin On's mission, vision, strategy and core values as part of Kin On's Leadership Team and Board.
- Meet business and Kin On metric targets.
- Perform other duties as assigned.
- Either of the following:
- Bachelor's degree from an accredited institution, preferably with a major in accounting or business, OR
- Two years of payroll experience at a company with over 100 people on payroll.
- Working knowledge of payroll, cash deposit processes and procedures, invoicing, and accounts payable, and/or willingness to acquire knowledge quickly.
- Able to understand their work and related processes, and identify and remediate related issues.
- Computer literate, able to quickly learn new software.
- Demonstrated problem solving and analytical skills, including the ability to research, analyze, and reconcile financial data.
- Experience with Paychex, AOD or other payroll and timekeeping software is preferred.
- Experience with financial system PCC is a plus.
- Bilingual in Chinese preferred.
- Candidate must be authorized to work in the United States.
