Summary Description
The Accounting Specialist is responsible for providing financial, administrative, and clerical services. This includes processing and monitoring payments and expenditures for multiple companies. Providing these services (see below) in an effective and efficient manner will ensure accuracy of the Company’s financial statements and vendors and suppliers are paid timely and accurately.
Essential Job Duties/Responsibilities
Job requires the ability to sit for long periods of time to perform duties. Also required is the ability to walk around and make inquiries from other staff, management, etc. Must be able to bend or stoop down to access file cabinets including lifting of items or objects up to 10 pounds.

Summary Description

Essential Job Duties/Responsibilities
- Perform the day-to-day processing of accounts payable transactions for multiple companies.
- Purchase matching for freight, packaging and resolving any discrepancies through the proper channels.
- Receives and verifies invoices and requisitions for goods and services – proper support for invoices, approval, month, and coding; compare invoices to price list, if application, and verifies accuracy of footings, and extensions (overall accuracy and completeness)
- Verifies that transactions comply with financial policies and procedures – cash management disbursement authorization, maximize discounts, and minimize interest or finance charges, etc.
- Prepares batches of invoices for data entry
- Data entry of invoices for payment
- Manages the weekly check run and/or as needed.
- Responsible for the check uploads to Wells Fargo Bank
- Prepares vendor checks for mailing.
- Maintains and updates vendor maintenance files in Famous.
- Reconciles vendor’s monthly statements to the detail A/P aging or payment history and resolve any discrepancies.
- Provides support to supplier and vendor – correspondence and research/resolve issues.
- Maintains standalone bank account balances and request transfer of funds as necessary.
- Requests and maintains Form W-9 from suppliers, vendors, or outside consultants for reporting requirements.
- Reviews AP aging on a regular basis and research any old and outstanding payables including credits over 6 months.
- Maintains AP check stock inventory.
- Provides or informs G/L staff or management of any material month-end accruals or payable related information.
- Responsible for annual Form 1099-misc and other external reporting and requirements
- Keeps up with stale dated checks procedures and reporting deadlines.
- Overall, ensures invoices are paid in a timely and accurate manner and past-due invoices are researched and resolved immediately while adhering to department procedures.
- Actively participates in the documentation/development of accounting policies, procedures, and internal controls.
- Provides cross-functional backup to other accounting functions.
- Provides support in educating or cross training of other staff to improve understanding and/or implement standards and procedures.
- Assists on various audits and budget preparation.
- Continuously assess and develop appropriate information for management.
- Assists in special projects.
- Regular attendance and promptness are required.
- Continuously look for ways to improve sustainability practices in your daily work routine and seek opportunities to contribute to sustainability goals set by your organization.
- Other Duties as assigned
- 3-5 years accounts payable experience in agriculture.
- Demonstrate strong analytical, organizational, and problem-solving skills.
- Knowledge of cost accounting
- Ability to work with a highly diverse workforce.
- Strong interpersonal and communication skills
- Discretion in handling confidential and sensitive information
- Works well both independently and in a team environment
- Highly organized, detailed-oriented, and ability to multi-task with excellent time management skills
- Demonstrate a commitment to quality and accuracy while meeting deadlines including completing all work according to the Company’s procedures and standards.
- Proficiency in Microsoft Excel, Word, and Outlook
- A.S. or A.A. in Accounting, Finance or equivalent
- Medius ERP knowledge
