Description

We are seeking a competent and professional Bilingual (Spanish) Front Desk Receptionist to serve as the first point of contact for our organization. This role is responsible for providing administrative support across all departments, greeting and assisting guests, and managing front desk operations, including handling incoming calls, distributing correspondence, and directing inquiries appropriately.

The ideal candidate will possess a welcoming demeanor, strong communication skills, and the ability to effectively manage emergency situations with composure and efficiency. The Front Desk Receptionist plays a key role in ensuring smooth daily operations and maintaining a positive and organized office environment.

Job Responsibilities

  • Welcome and assist visitors as soon as they arrive in a friendly and professional manner.
  • Direct visitors to the appropriate person, department, or office.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Provide basic and accurate information in-person, over the phone, and via email.
  • Maintain a professional, organized, and tidy reception area, ensuring all necessary materials (e.g., pens, forms, brochures) are stocked and readily available.
  • Receive, sort, and distribute daily mail, packages, and deliveries.
  • Maintain front desk security by following established safety protocols and controlling access through visitor logs and issuing visitor badges.
  • Schedule and confirm appointments, meetings, and events as requested.
  • Update calendars, schedule meetings, and maintain appointment records for staff and management.
  • Prepare reports, maintain accurate records, and type various documents as required.
  • Maintain updated records of office expenses, costs, and inventory of front office supplies.
  • Order and restock front office supplies to ensure adequate inventory.
  • Assist with filing, photocopying, scanning, transcribing, faxing, and other clerical duties.
  • Perform accurate data entry and assist in the preparation of forms, reports, and correspondence.
  • Communicate effectively with staff, clients, vendors, and visitors in both English and Spanish.
  • Handle emergency situations calmly and efficiently while notifying appropriate personnel.
  • Adhere to confidentiality and data privacy policies when handling sensitive information.
  • Perform additional administrative duties and special projects as assigned by management.

Requirements

  • High School Diploma or equivalent.
  • 1-3 years of experience in a similar role.
  • Bilingual (Spanish) required.
  • Exceptional ability to create a welcoming and professional environment.
  • Experience in answering and screening calls.
  • Ability to observe business etiquette and maintain a professional appearance.
  • Proficiency in appointment scheduling and call forwarding systems.
  • Experience working with word processing (including Microsoft Word, Excel, and Outlook Express), spreadsheets, and email systems.
  • Working knowledge of printers, copiers, scanners, and fax machines.
  • Excellent interpersonal and communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
  • Dependable with consistent and reliable attendance.

  • Pay: Starting Salary $37,000 annually
  • Expected hours: 32 – 40 per week
