About This Position

The Administrative Technician assists and supports the Engineering Department’s Plan Review division, which includes the Plan Review Supervisor, a Civil Engineer—EIT, and three Plan Review Specialists. This role will be responsible for record-keeping and timely data entry, creation of agenda items for public hearings, limited project management, work using GIS and permitting software, fee collection, and interaction with the public to answer questions or direct to the appropriate staff. Discretion may be needed for private development projects that are not ready to announce.

The Plan Review division is involved in the development of new residential areas and commercial uses such as shopping, services, hotels, restaurants, and entertainment, as well as municipal projects for utilities, roads, parks, and more. The Engineering Department prioritizes work-life balance and offers flexible hours and remote scheduling opportunities with a standard work week of 7:30 to 5:30 Monday through Thursday and a half day on Friday (7:30 to 11:30).

Qualifications

  • General knowledge equivalent to 2 years of college
  • 2 years of related experience and/or training
    • Or equivalent combination of education and experience
  • 12 to 18 months of related people or project management experience
  • Valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier
Responsibilities

  • Manage records, document fees, and compile data for all land development projects
  • Manage records, send copies of information, process fees, and submit payments related to Oklahoma Department of Environmental Quality (ODEQ)
  • Use the City’s Geographic Information System (GIS) to create maps, provide archived construction plans, and assign addresses to new structures/lots
  • Answer telephone calls, and provide information to callers
  • Review all proposed street names and coordinate with applicants on approval or replacement options
  • Prepare agenda items for City Council including easement acceptance, permit acknowledgement, variance request, and plat acceptance
  • Collect, process, and balance payment transactions within policy guidelines
  • Distribute plan and plat documents to various agencies
  • Make travel arrangements, handle reservations, and document travel and training
  • Collaborate with IT on computer issues, new software/hardware requests, and technical support
  • Assist with departmental special projects and assignments
  • Travel between City building locations to deliver or pick up original copies of documents

Necessary Skills

  • Advanced skill with Microsoft Word and Excel
  • Familiarity with GIS
  • Proficiency with personal computer applications
  • Strong written and verbal communication skills
  • Ability to convey technical information clearly in both writing and speech
  • Willingness and ability to occasionally use personal vehicle to travel locally
  • Ability to meet the required physical standards for this position
  • Ability to pass extensive background process and pre-employment drug and audio screenings
