Job Summary

The Administrative Assistant, Learning and Development (L&D) is responsible for creating a welcoming and highly organized office environment. They will handle clerical and administrative duties, and coordinate general administration by assisting several departments. They are responsible for clerical and organizational tasks such as file organizing and supply management, as well as ad hoc projects as needed to support the organization. They will work with various departments. This position reports to the Director of Learning and Development and has no direct reports.

Key Job Responsibilities

  • Reliable attendance and punctuality.
  • Manage the reception area, greet visitors with professionalism, and escort visitors to appropriate location.
  • Collect, sort, and distribute incoming mail and deliveries.
  • Maintain and stock breakrooms and office supplies.
  • Verify appointments and professionally redirect unsolicited sales inquiries.
  • Coordinate data, update course information, and research reported issues in the Learning Management System (LMS).
  • Support training scheduling and email reminders for learning courses as needed.
  • Schedule and manage reservations for conference and training rooms.
  • Coordinate travel arrangements for employees attending training.
  • Order meals for business meetings and training sessions.
  • Prepare meeting rooms and conference rooms for the next day or event.
  • Prepare and ship welcome packages for new hires.
  • Assist with collecting content and publishing the company newsletter.
  • Support Human Resources, Safety, and Training communications as needed. ? Other duties as assigned by supervisor.

Key Performance Measurements

  • Ensure the Company is organized, on-time, and well prepared for meetings or scheduling travel.
  • Timeliness and attention to detail in all key areas of role.
  • An acceptable score on a Level 1 survey.
  • Other key performance indicators as assigned.

Requirements

  • High school diploma or GED equivalent, required.
  • Must pass a background check and drug screen.
  • 2+ years related experience in a professional environment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication.
  • Capable of identifying and completing critical tasks independently and with a sense of urgency.
  • Ability to handle confidential information with discretion. ? Strong organizational and multitasking abilities.
  • Ability to organize their own work and work independently, with limited supervision.
  • Proficiency in Microsoft Office and Microsoft TEAMS platforms.
  • Ability to work with individuals from diverse backgrounds and with diverse needs, and across remote offices.
  • Ability to clearly articulate ideas (both written and verbal) to both internal and external customers and to listen effectively to customer needs.
  • Ability to develop and maintain strong workplace relationships.
  • Possess a keen eye for detail, and the ability to work in a fast-paced environment.
  • Ability to work collaboratively with other departments.
  • Possess general knowledge of safety regulations and compliance requirements. ? Limited travel, possible overnight travel may be required.
