JOB REQUIREMENTS: We are seeking a detail-oriented and highly organized
individual to provide support to our Youth Justice Services team. This
role plays a critical part in supporting case management functions by
processing intake referrals, maintaining case files, handling legal
documentation, and performing essential clerical duties in accordance
with state and federal guidelines. The ideal candidate will possess
strong analytical and organizational skills, with the ability to manage
confidential information and work independently under minimal
supervision. Responsibilities include maintaining both physical and
electronic records, preparing billing documents, supporting staff with
daily administrative tasks, and responding to public records requests.
Proficiency in Microsoft Office, excellent communication skills, and a
strong understanding of office procedures are essential for success in

processes. Essential Duties Process Youth Justice Services intake
referrals in accordance with applicable state and federal guidelines, as
well as Wisconsin state standards. Analyze and interpret complex
information contained in forms, reports, legal documents, and other
department-related materials. Initiate and update required documentation
in case files for the Youth Justice Services program, including
assigning case numbers and ensuring records are accurate and complete.
Maintain physical case files, including filing, retrieving, archiving,
and securely destroying records, in compliance with agency policies and
applicable record retention laws. Process division-specific paperwork
and distribute legal documents to assigned case managers in a timely and
accurate manner. Open, file, and organize court documents and ensure
they are properly maintained in case records. Maintain electronic case
files by entering data, scanning documents, renaming files, and
uploading to appropriate databases or systems. Complete billing and
invoicing processes using designated applications, ensuring accuracy and
compliance with departmental protocols. Exercise sound judgment,
initiative, and discretion when applying established policies and
procedures, particularly in complex or sensitive situations. Perform
background checks, records reviews, redactions, and responses to public
records requests in accordance with Wisconsin\'s Open Records Law,
applicable Supreme Court rules, and privacy statutes. Serve as a point
of contact for public inquiries related to records requests, providing
professional and timely responses. Provide clerical support to
department staff, including tasks such as faxing, copying, printing, and
assisting with purchase requests and authorization forms. Stay current
with updates to agency databases, software systems, and procedural
changes through ongoing training, meetings, or reading updated
materials. Perform specialized clerical and administrative duties with a
