We are currently seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to join our team in Coral Springs, Florida. This individual will play a critical role in supporting our Managing Directors and ensuring seamless administrative operations throughout the organization.

Position Overview

The Executive Administrative Assistant will serve as a key member of our administrative team, providing comprehensive support to the Managing Directors and overseeing a variety of core business functions. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Provide direct administrative and commercial support to the Managing Directors
  • Manage calendar scheduling, travel arrangements, and meeting coordination
  • Oversee onboarding and offboarding processes for employees which align with established SOPs
  • Provision software and equipment for new hires
  • Reconcile employee expense accounts, including those of the executive team
  • Monitor, track and log vendor payments through platforms such as PayPal and QuickBooks
  • Maintain accurate financial records and reporting for all company transactions
  • Oversee employee benefits administration including medical, dental, vision, 401(k), vacations, PTO and compensation-related matters
  • Coordinate HR, IT, and accounting functions to ensure seamless workflow
  • Maintain integrity of confidentiality with sensitive information at all times

Qualifications

  • Minimum 2+ years of experience in an executive administrative support role
  • Strong working knowledge of Microsoft Office Suite and QuickBooks
  • Experience with expense reconciliation and vendor payment platforms (e.g., PayPal)
  • Familiarity with employee benefits administration and HR onboarding procedures
  • Excellent written and verbal communication skills
  • Strong organizational and problem-solving skills with a proactive approach
  • Ability to work independently and handle multiple tasks with minimal supervision
  • High level of professionalism, discretion, and integrity
