Duties Description
- The incumbent will assist with tasks associated with the TD&T
- General receptionist duties; answer and direct telephone calls to the appropriate staff
- Respond to standard inquiries, taking meeting minutes when requested.
- Open and stamp incoming mail, data entry, photocopying.
- Maintain all files for the department, status changes, maintaining office calendar,
- checking forms for completeness and accuracy.
- Periodic physical inventory and maintain records, keep shelves and stock clean, neatand in proper place.
- Setup staff trainings offered by the local office, enter trainings in SharePoint or/andSLMS in a timely manner.
- SLMS classes are created, administered, and entries are completed and correct.
- Central Office, DDRO, and DDSOO classes are supported and scheduled, with room, equipment and materials needed, particularly Fire Safety, First Aid and CPR
- Local and regional training calendars are correct, coordinated, and distributed.
- New Employee Orientation (NEO) programs are supported.
- Provision of training records and reports for DDRO, DDSOO, HR, OIIA and Justice Center
- The incumbent can choose their primary work location but needs to travel to their secondary work location at least once a week.
- Complete purchase requests to replenish department supplies.

- Possess the minimum qualifications for this title as established by the Department of Civil Service and listed on the most recent exam announcement.

- Please note: Appointment may be made at a traineeship level. Two-year traineeship (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $40,391 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $45,081) leading to Administrative Assistant 1, Grade 11 salary $47,695. A Downstate adjustment of $4,000 will be added to all salaries. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.
- If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee.
- The assignment of PS&T employees will be made in accordance with any agreed upon Memorandum of Understanding between PEF and the local DDSO regarding the posting of job vacancies.
