Job Overview
The Logistics Specialist plays a critical role in assisting operations and supporting field projects by coordinating fleet resources, heavy equipment, materials, tooling and support inventory. This position ensures detailed scheduling, tracking, inventory and maintenance of company assets, providing a safe and efficient work environment for crews and operators. The ideal candidate is proactive with strong technical and organizational skills, capable of coordinating logistics, managing high-value assets, and collaborating with stakeholders to deliver exceptional results. This role reports directly to the Vice President of Operations and requires 25%+ travel to job sites.
Responsibilities
- Operational Management: Oversee daily fleet activities, including regulatory compliance, scheduling, workflow, and resource allocation, to meet project deadlines, budgets, and quality standards. Partner with the VP of Operations and Operations Coordinator to prioritize and execute work orders.
- Logistics & Project Support: Coordinate the purchase, receipt, preparation, shipment, and transfer of vehicles, equipment, tooling, and materials between Operations hub and job sites to ensure seamless project execution.
- Quality Assurance: Track and manage inspections upon receipt of vehicles, equipment and tooling. Manage invoicing and supply of GPS tracking and vehicle cameras, fuel tanks, toolboxes and other auxiliary vehicle add-ons. Ensure vehicles, equipment and tooling arrive in an acceptable state, as ordered. Direct, monitor, and record the completion of repairs, rebuilds, and modifications on existing assets, ensuring compliance with company standards, blueprints, and specifications. Address any quality issues promptly.
- Reporting and documentation: Maintain accurate records, including timesheets, maintenance logs, inventory reports, equipment inspections, vehicle registration, insurance and safety documentation. Fleet and Resource Coordinator will be responsible for coordinating with Company insurance representatives to ensure accurate coverage, appropriate insurance documentation, and up-to-date fleet asset list in continuously maintained.
- Safety Leadership: Enforce safety policies aligned with company and regulatory standards (e.g., OSHA, DOT, Texas DPS, etc.). Collaborate with EH&S teams to maintain a secure workplace. Manage resources for company driver safety program including fleet tracking equipment.
- Inventory Control: Manage inventory of vehicles, tools, equipment, and materials, procuring supplies and coordinating delivery to drivers, operators and field crews as required. Record cost of items procured, maintain accurate schedule of value for inventory, submit periodic expense reports and track trends in fleet and equipment spending.
- Process Improvement: Identify opportunities to enhance efficiency, implement best practices, and develop strategies to keep projects on schedule and within budget.
Qualifications and Required Skills
- 1-5 years of experience in construction, industrial repair, or maintenance logistics. Fleet operations and/or inventory management preferred.
- Excellent organizational skills, with the ability to manage schedules, resources, and inventory while meeting deadlines.
- Effective communication skills for collaborating with team members, suppliers, and stakeholders.
- OSHA 30-hour certification (active and maintained) preferred.
- Basic computer skills including Microsoft Office applications and familiarity with Excel, Outlook, Word and Adobe.
- Valid driver’s license with a clean record; Commercial Driver’s License (CDL) is a plus.
- Willingness to travel (25%+) and be on call 24/7 for after-hours needs.
- Must be at least 21 years old and able to pass a pre-employment criminal background check and drug screen.
Physical Demands & Work Environment
· May work in various environments, including office settings, fabrication shop, construction sites, or other operational areas.
· Requires physical agility to navigate construction sites and work outdoors as needed.
· May require standing for long periods, walking, and occasional lifting.
· May be exposed to noise, dust, or other workplace elements, requiring appropriate PPE.
· Occasional travel required.
