Job Description

The Executive Assistant will provide comprehensive support to the CEO of Americas by managing executive schedules, facilitating communication, and ensuring efficient and effective operations. This role requires a high degree of professionalism, discretion, agility and exceptional organizational skills.

RESPONSIBILITIES:

CEO Support:

  • Manage and optimize the CEO’s daily agenda, balancing competing priorities, resolving scheduling conflicts and coordinating across domestic and international time zones.
  • Coordinate logistics and preparation for internal and external meetings, including but not limited to venue sourcing, catering, dining reservations and assisting with agenda development and follow up.
  • Serve as a point of contact for urgent matters requiring the CEO’s attention, ensuring timely resolution.
  • Handle sensitive and confidential information with discretion and professionalism, representing the CEO with poise in all internal and external communications.
  • Prepare and process expense reports adhering to company travel and expense policies, ensuring accuracy and timeliness.
  • Arrange and manage domestic and international travel, ensuring all elements – from flights to ground transportation – run smoothly and efficiently.
  • Collaborates closely with the Business Strategy Manager to ensure seamless alignment between daily operations and strategic initiatives, enhancing the overall efficiency of the CEO's office.
  • Support special projects and initiatives as directed by the CEO, ensuring follow through on deliverables and key milestones.

Internal VIP Hospitality:

  • Arrange hotel and transportation needs for internal VIPs visiting the US market, such as Global C-Suite Executives and the Board of Directors.
  • Manage all travel bookings in alignment with established guidelines, ensuring appropriate policies and preferences are respected.
  • Track expenses for the executive office, ensuring compliance with company policies and budgets.

Team Meetings & Event Coordination:

  • Organize and schedule internal and external meetings, including weekly, biweekly, and monthly sessions.
  • Coordination of leadership team offsites, bi-annual retail summit and ad hoc events as needed; coordination to include venue sourcing, menu selections and all logistical coordination.
  • Liaise with other departments such as HR, to support US-wide team events and activations.

Office Management:

  • Manage office supply orders, ensuring availability of essential items.
  • Oversee office access and security protocols.
  • Maintain vendor lists for general office maintenance.

Qualifications

  • Bachelor's degree or equivalent professional experience.
  • 5+ years of experience as an Executive Assistant supporting senior executives.
  • Proficiency in Microsoft Office Suite and relevant software, including travel and expense management tools.
  • Exceptional organizational and multitasking skills, maintaining a high level of discretion and professionalism.
  • Excellent written and verbal communication abilities.
  • Extensive experience managing executive-level calendars, including coordination across time zones and international travel.
  • A proactive, team-oriented approach with the capability to operate independently while handling multiple tasks and deadlines.
  • Strong interpersonal skills, with the ability to build relationships and collaborate at all levels within the organization.
  • Fluency in English; proficiency in additional languages is advantageous.

Additional Information

Audemars Piguet offers a competitive and comprehensive compensation and benefits package. The salary range for this position is $100k-$110k annually. This role is eligible for bonus. Salary will be based on relevant skills and experience.
