Disney Branded Television is seeking an exceptionally organized, proactive, and discreet Executive Assistant to support the SVP of Corporate Communications and Publicity and the VP of Publicity. This is a fast-paced, high-trust role requiring sharp judgment, strong communication skills, and a commitment to excellence.
The ideal candidate will not only manage calendars, travel, and expenses for two senior leaders but also serve as a vital administrative resource across the broader team. Responsibilities:
- Manage complex, high-volume calendars for both the SVP and VP
- Schedule and coordinate meetings across departments, partners, and time zones
- Arrange domestic and international travel; process related expense reports
- Serve as a primary point of contact with internal executives, talent reps, media partners, and cross-functional teams with professionalism and discretion
- Draft, proofread, and format internal reports, updates, memos, and other communications
- Prepare agendas, take notes, and track action items for meetings as needed
- Maintain and update team-wide resources such as contact lists and project trackers
- Support corporate and press events with logistics coordination and administrative tasks
- Order supplies, manage workspace logistics, and handle other operational needs
- Stay informed on department projects and priorities to anticipate needs and streamline workflow
- Proactively identify process improvements and prevent issues before they arise
- 2+ years of administrative experience supporting senior executives
- Exceptional organizational skills and attention to detail
- Ability to prioritize and manage multiple competing deadlines
- Strong written and verbal communication skills
- High level of professionalism, discretion, and trustworthiness
- Collaborative team player with a proactive, can-do attitude
- Proficiency in managing complex calendars
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and Microsoft Teams
- Familiarity with Concur, Workday, and other enterprise systems
- Ability to handle confidential and sensitive information with discretion and professionalism
- Demonstrate strong technical aptitude with the ability to quickly learn and navigate new systems, tools, and workflows in a fast-paced environment
- Flexibility to support occasional after-hours needs (e.g. press events or travel schedules)
- Familiarity with various reporting tools such as Google Docs, SharePoint, and Airtable
- Bachelor’s degree or equivalent experience strongly preferred
