Summary

SmartVault’s Employee Experience Coordinator helps oversee a company's employee lifecycle and experience, focusing on creating a positive and engaging work environment while ensuring HR processes are efficient and compliant.

Key Responsibilities:

People & Culture – 25%

  • HRIS Management: Oversee employee records, ensuring accuracy and compliance with company policies and legal requirements.
  • Recruitment: Coordinate the recruitment process, including job postings, scheduling interviews, and coordinating with hiring managers.
  • Onboarding & Offboarding: Manage onboarding processes for new hires and offboarding procedures for departing employees.
  • Employee Relations: Support the VP, People & Culture in addressing employee queries and concerns, fostering a positive work environment.
  • Performance Management: Assist in the administration of performance review processes and employee development programs.
  • Benefits Administration: Manage health & wellness programs, and coordinate health insurance, retirement plans, and other perks.
  • HR Compliance: Ensure compliance with labor laws and regulations, maintaining up-to-date knowledge of HR best practices.
  • Learning & Development: Coordinate training sessions, surveys and professional development initiatives.

Company Culture Initiatives – 25%

  • Culture Development: Implement initiatives that promote core values and foster a sense of community and belonging among employees.
  • Event Management: Plan and execute company events, meetings, and activities, promoting a positive company culture
  • Diversity & Inclusion: Develop and support diversity and inclusion programs, ensuring a welcoming and inclusive environment for all team members.
  • Employee Recognition: Develop and coordinate recognition programs to celebrate employee achievements and milestones, boosting motivation and retention.
  • Wellness Programs: Develop and coordinate wellness programs aimed at enhancing the physical, mental, and emotional well-being of employees.
  • Feedback Mechanisms: Establish and maintain channels for regular employee feedback, ensuring their voices are heard and their suggestions are acted upon.

Office Management – 50%

  • Budget Management: Manage the office operations and entertainment budgets, ensuring cost-effectiveness and financial prudence.
  • Office Operations: Oversee daily office operations, ensuring a well-organized and efficient workplace.
  • Facilities Management: Manage office facilities, including maintenance, security, and vendor relationships.
  • Supplies & Inventory: Maintain office supplies inventory, ensuring timely procurement and restocking.
  • Health & Safety: Implement and maintain health and safety policies, ensuring a safe work environment.

Qualifications:

  • Bachelor’s degree in human resources, Business Administration, Organizational Development, or a related field preferred.
  • 1+ years of experience in human resources, ideally in a tech environment required
  • Proven experience in office management, HR compliance, project management, and supporting senior HR leadership.
  • 2+ years of experience in office operations required
  • Strong understanding of HR best practices, labor laws, and compliance standards.
  • Excellent project management skills with a demonstrated ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment.
  • Exceptional organizational and communication skills, with the ability to collaborate across teams and levels of the organization.
  • Proficiency in HR information systems (HRIS), knowledge management platforms, and project management tools.

Requirements of Role:

  • Must live in Houston, TX within a 20-mile radius to the home office
  • Hybrid schedule of every Tuesday, Wednesday and Thursday in office
    • o Additional days in office may be required due to role
